Compensation: $54,000 +/- annually, based on experience

We manage a diverse portfolio of residential properties, ensuring they are well-maintained and safe for all residents. Position Summary
The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all SPM employees across multiple properties. This role manages payroll tax compliance, PTO tracking, and payroll reporting while coordinating with the companys PEO partner for benefits administration. The Payroll Coordinator reports to the Property Accounting Manager and works closely with HR and the corporate accounting team.
Key Responsibilities
As a Payroll Coordinator at SPM, you will be responsible for:
Payroll Processing
Process bi-weekly or semi-monthly payroll for all employees, including salaried, hourly, and commissioned staff across multiple properties
Verify timesheets, calculate hours, overtime, bonuses, and commissions for accurate payroll submission
Process payroll adjustments including retroactive pay, reimbursements, and deductions
Set up new hires in the payroll system and process terminations, ensuring final paychecks comply with state requirements
Tax Compliance & Reporting
Ensure accurate and timely payroll tax filings at the federal, state, and local levels
Prepare and distribute W-2s at year-end and ensure compliance with all reporting deadlines
Maintain current knowledge of wage and hour laws, tax regulations, and payroll compliance requirements
Respond to tax notices and resolve payroll tax discrepancies as needed
PTO & Time Management
Track and reconcile PTO accruals, sick leave, and other time-off balances for all employees
Resolve timesheet discrepancies and coordinate with property managers on attendance issues
Maintain accurate records of employee leave in the payroll and HRIS systems
PEO Coordination
Serve as the primary point of contact with the companys PEO partner for payroll-related matters
Coordinate with the PEO on employee onboarding, benefits enrollment integration, and payroll system updates
Reconcile PEO invoices and reports to ensure accuracy of charges
Payroll Reporting & Reconciliation
Prepare payroll journal entries and reconcile payroll accounts with the general ledger
Generate payroll reports for management, including labor cost analysis by property
Maintain proper records, files, and documentation for all payroll transactions
All other duties and special projects as assigned
Qualifications
To be successful in this role, you should have:
Associates or Bachelors degree in Accounting, Business, or related field preferred
24 years of payroll processing experience required
Experience processing multi-state payroll for 50+ employees preferred
Experience with payroll software (ADP, Paychex, Paylocity, or similar) required
Familiarity with PEO platforms and workflows preferred
Knowledge of federal, state, and local payroll tax regulations
Strong proficiency in Microsoft Excel
Excellent attention to detail and organizational skills
Ability to handle confidential information with discretion
Strong communication skills for cross-departmental coordination
Pre-employment drug test and background check required
