Duties
Under supervision, the Telephone Operator is often the first contact and first impression of the college. The Operator controls an attendant console to relay incoming and outgoing calls, directs calls to proper areas, reports telephone operational issues to management and perform clerical duties. The Telephone Operator is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and a positive customer relations.
Essential Duties and Responsibilities include the following. Others may be assigned:
1. Operates telephone system to relay incoming, outgoing and interoffice calls.
2. During low call volumes, is responsible for assisting and helping customer's needs to the fullest extent.
3. Answers questions of customers with appropriate information by continuously familiarizing him or herself with the ever-changing information of the college's personnel, departments, operations and calendar.
4. Directs calls to proper person/area.
5. Responds to questions regarding all telephone related systems.
6. Responsible for maintaining directory data.
7. Contacts supervisor with telephone emergencies, repairs, and directs telephone repair/installers to appropriate locations.
8. Distributes, records, programs and maintains loaner cellular devices.
9. Maintains spreadsheets of telephone extensions for new installations and inventory of telephone equipment, creates manuals for users and telephone operators, assists in keeping on-call operators up to date with new College information and compiles packets for training workshops.
10. May perform some clerical duties, such as maintaining office file system, process orders to outside vendors, orders supplies, pickup and distribute mail, and verifies and types payment authorizations for invoices.
Education/Experience
High school diploma or general education degree (GED) and 0-3 months related experience and/or training.
Qualifications
โ€ข Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence.
โ€ข Highly effective vocal communication skills.
โ€ข Effective interpersonal skills.
โ€ข Ability to work independently.
โ€ข Ability to maintain composure and remain positive during times of large call volumes.
โ€ข Moderate typing and computer skills.
