Job description

Overview
Community First is looking for a Part Time Concierge to join out team at our Beavercreek Location The Patterson!
Responsible for greeting and directing all visitors, answering incoming calls, directing calls to the appropriate individual, sorting and distributing mail, ordering office supplies, providing administrative support for sales, and performing a variety of clerical activities and related tasks. The concierge is the face of the campus and must be friendly, professional, and dependable in disposition, and tolerate frequent interruptions with patience and a constantly focused on hospitality.
Schedule: Part time (every other Sunday 9:00AM-5:00PM and 3-4 evenings during the week from 3:00-8:00PM.)
Pay: Starts at $14 and goes up based on experience!
Responsibilities
  • Deliver exceptional first impressions by warmly greeting and assisting residents, families, and visitors while managing a multi-line phone system
  • Create a welcoming atmosphere by maintaining an immaculate reception area, refreshment station, and current marketing displays
  • Coordinate visitor management, including sign-in procedures, tour scheduling, and resident transportation
  • Promptly notify the sales team (or designee) when scheduled tours arrive or when there are walk ins (unscheduled tours)
  • Monitor visitor sign-in and resident sign-out and enforce community access policies
  • Support sales and marketing initiatives through engaging client interactions and thorough follow-up
  • Process and distribute mail, packages, and newspapers efficiently while managing office supplies and equipment
  • Maintain accurate resident records through data entry and documentation using company software
  • Monitor and promptly report any changes in resident conditions to supervisors
  • Demonstrate company values and "Always Behaviors" in all interactions
  • Manage additional administrative duties and special projects as assigned
  • Displays knowledge of the services and programs and other pertinent information regarding the community
  • Maintains reception area in a neat and orderly fashion.
  • Performs clerical duties for sales support and other campus staff as directed by supervisor
  • Manage the resident transportation schedule
  • Perform data entry duties as directed by a supervisor, including entering in resident face sheets utilizing company software.
  • Embraces the company's Always Behaviors each and every day as we serve our clients, colleagues, and community.
  • All other duties as assigned and/or appropriate to the position.

Qualifications
Education: High School diploma or GED
Licenses or other required certifications: None
Experience: Previous front desk, clerical and/or data entry experience preferred
Specialized knowledge, skills, or abilities:
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Proficient and high degree of comfort using telephone system.
  • High degree of accuracy with data entry
  • Possess excellent telephone etiquette.
  • Professional in manner and appearance, outgoing and passionate personality with exceptional customer service skills
  • Good spoken and written communication skills
  • Good organization skills
  • Tolerates disruptions with patience.
  • Possess discretion and have a respect for confidentiality.
  • Detail oriented
  • Ability to operate copier, fax machine, scanner, postage machine, etc.
  • Ability to multi-task and prioritize.
  • Ability to maintain a flexible work schedule, including some evenings and weekends.
