Job description

The Administrative Assistant provides comprehensive administrative and customer service support to the management office. This role is responsible for handling incoming calls, assisting walk-in clients, processing tenant evaluations, managing access systems, and maintaining accurate records related to work orders, violations, and ARB applications. The ideal candidate will be detail-oriented, organized, and possess excellent communication and multitasking skills.




Key Responsibilities:
  • Answer and direct incoming phone calls professionally and efficiently.
  • Greet and assist walk-ins regarding access items such as clickers, stickers, fobs, and keys.
  • Provide general information and assistance to residents, vendors, and visitors.
  • Maintain organized records of tenant evaluations, work orders, violations, and ARB (Architectural Review Board) submissions.
  • Prepare and process correspondence, notices, and reports as needed.
  • Assist with scheduling appointments, meetings, and inspections.
  • Program and maintain gate access systems and databases.
  • Issue and track access devices (fobs, stickers, clickers, etc.) for residents and vendors.
  • Receive, log, and assign work orders to appropriate personnel or vendors.
  • Follow up on pending work orders to ensure timely completion.
  • Assist in monitoring and processing community violations and related communications.
  • Support ARB submissions by receiving applications, verifying completeness, and updating status logs.


Schedule: Part-Time Mon-Thurs 8am-2pm 24hrs a week

Pay Rate: Up to $23 DOE
