A little bit about our team:

Warner Music Latina's A&R department is responsible for all aspects of the creative artistic process, including talent discovery, artist signing, oversight of artist's recording, acquisition of material, choice of production partner, engineering and musicians for sessions. A&R is truly the creative nerve center and quality control for the identity of the label.

Your role:

As a Temp Admin Coordinator, you will be the operational and financial backbone of the A&R department. Your primary responsibility is to ensure the financial integrity, contractual compliance, and efficient administrative workflow for all A&R projects, label deals, and music production. You will serve as the primary liaison between A&R, Business & Legal Affairs, and Finance teams, focusing on budget management, detailed payment processing, and comprehensive contract administration. The ideal candidate will possess a strong background in finance, accounting, legal or complex administrative management, bringing structure and meticulous accuracy to our creative process.

Here you'll get to:

  • Manage and track A&R project budgets, ensuring all expenses remain within approved limits.
  • Manage artist terminations, ensuring the process is executed smoothly and in compliance with contractual obligations.
  • Maintain and organize records of A&R projects, including contracts, reports, invoices, timelines, collaborations (e.g., label waivers), and other key documentation.
  • Track and manage the progress of recording projects, ensuring timely delivery of all project assets (e.g., masters, final mixes) while maintaining communication with relevant teams.
  • Coordinate the submission of deliverables, ensuring they meet internal guidelines, deadlines, and quality standards.
  • Monitor and maintain the release schedule, ensuring all dates are accurate and delivery deadlines are met.
  • Manage administrative aspects of recording projects, including scheduling, planning, invoicing, and communication with external vendors and production partners.
  • Manage contract documentation for artists, producers, video production, photos and artwork, ensuring all necessary paperwork is accurate and up to date.
  • Provide logistical support to the A&R team, coordinating travel, meetings, and other arrangements for artists and the team.
  • Support ongoing label deals by ensuring the smooth handling and delivery of required assets.
  • Assist with Latin Grammy and Grammy submissions, ensuring all deadlines and requirements are met.
  • Organize and maintain the A&R Master Box, ensuring demos, masters, stems, and other assets are properly cataloged and accessible.

About you:

  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Well-organized and highly skilled at tracking project progress, budgets, and deadlines.
  • Excellent follow-up skills and a high degree of persistence necessary to track contracts, payments, and deliverables across multiple internal and external stakeholders, ensuring deadlines are strictly met.
  • Strong communication skills in both English and Spanish, with the ability to collaborate with internal and external stakeholders across Latin America and globally.
  • 3+ years of experience in the music industry, preferably within A&R Admin or a similar administrative or financial role.
  • Experience with budget management, PO systems and invoice processing.
  • Ability to travel domestically and internationally as required.
  • Bachelor's degree from a 4-year university or college.
