Clever Closings is the title and escrow arm of Clever Real Estate. We close residential transactions across multiple states for home buyers, sellers, loan officers, and agents - handling title search and examination, title insurance, escrow, settlement, and disbursement under tight regulatory and underwriter requirements. Role Overview

We're seeking a detail-oriented, highly organized Post-Closing Specialist to join our growing team. This role will report to the Senior Director of Operations. In this role, you'll play a critical part in ensuring the accuracy, compliance, and timely handling of closing documentation after a transaction is completed. This position involves working with both internal team members and external partners to finalize file processing, submit recording documents, and issue final title policies.

Key Responsibilities
  • We expect all team members to leverage AI tools as a natural part of their daily workflow - using them to handle routine tasks efficiently so you can spend more of your energy on the work that actually matters: collaborating, problem-solving, and driving strategy.
  • Conduct a thorough post-closing audit of completed loan files to ensure accuracy, completeness, and compliance with recording requirements
  • Submit documents for recording electronically or by mail to appropriate jurisdictions across the country
  • Validate recording and transfer/mortgage tax fees, ensuring correct payment amounts
  • Reconcile recording fees, process refunds for any overages, and ensure funds are properly disbursed
  • Monitor and track closed files and documents sent for recording, updating internal systems accordingly
  • Scan, organize, and index final documents into the loan/title operating systems
  • Review, log, and mail original trailing documents such as recorded instruments and final policies
  • Ensure final title policies are accurate, issued on time, and meet underwriter and client standards
  • Communicate with internal teams, lenders, and other transaction stakeholders to gather or clarify information necessary to complete post-closing tasks

  • Recording Submission Timeliness: All recording packages submitted within 48 hours of closing
