Job description

We are looking for a detail-oriented Mortgage Post Closing Specialist to support post-closing operations in a western suburb of Milwaukee, Wisconsin. In this role, you will help ensure residential mortgage files are complete, accurate, and properly documented while supporting collateral management and trailing document follow-up. This position is well suited for someone who is organized, comfortable working across multiple systems, and able to collaborate with both internal teams and external partners to resolve documentation issues efficiently.


Responsibilities:

โ€ข Examine closed mortgage loan packages to confirm all required documents are present, accurate, and aligned with client and servicing expectations.

โ€ข Evaluate collateral records such as promissory notes, security instruments, deeds, assignments, title documentation, endorsements, and related filing materials.

โ€ข Oversee exception inventories, aging items, workflow queues, and trailing document reports to keep post-closing activity on schedule.

โ€ข Investigate missing, incorrect, or unrecorded documents and drive timely resolution of outstanding collateral issues.

โ€ข Partner with internal departments and outside parties, including title agencies, closing professionals, custodians, investors, and clients, to obtain corrections and updated documentation.

โ€ข Maintain detailed tracking for incoming trailing documents, review status, certification progress, and final resolution of file deficiencies.

โ€ข Contribute to collateral certification efforts, audit readiness activities, quality reviews, and other operational control tasks.

โ€ข Perform document imaging, indexing, labeling, and classification to support accurate file organization and retrieval.

โ€ข Assist with procedure enhancements, user acceptance testing, and special assignments related to post-closing operations and process improvement.

โ€ข At least 1 year of experience in mortgage operations, post-closing, loan documentation, collateral review, quality control, banking operations, or a similar function.
โ€ข Background in residential mortgage processing, mortgage servicing, mortgage closing, consumer lending, or conventional loan administration is preferred.
โ€ข High school diploma or equivalent is required; additional college coursework or an associate degree is a plus.
โ€ข Familiarity with mortgage servicing platforms, imaging tools, document repositories, workflow systems, or comparable technology is preferred.
โ€ข Strong attention to detail with the ability to identify discrepancies and maintain a high level of accuracy.
โ€ข Effective organizational skills and the ability to balance multiple deadlines in a fast-paced environment.
โ€ข Working knowledge of Microsoft Outlook, Word, and Excel.
โ€ข Confidence using technology and the ability to learn new applications quickly.
