What is post closing in the mortgage industry?

Post closing refers to the stage in the mortgage process that occurs after a loan has been closed and the funds have been disbursed. During this phase, post closing specialists review loan documents for accuracy and completeness, ensure compliance with investor and regulatory guidelines, and prepare the files for delivery or sale to investors. This process helps prevent future legal or financial issues and ensures that the lender receives payment for the loan. It is a critical step to finalize the mortgage transaction and protect all parties involved.

What are the key skills and qualifications needed to thrive as a post closing specialist, and why are they important?

To thrive as a Post Closing Specialist, you need strong attention to detail, knowledge of mortgage and loan documentation, and familiarity with industry regulations, typically supported by a high school diploma or higher and relevant experience. Proficiency with loan origination systems (LOS), document management software, and compliance tools is commonly required. Excellent organization, problem-solving skills, and effective communication help professionals excel in this deadline-driven role. These abilities ensure accurate, timely completion of post-closing processes, reducing risk and facilitating smooth loan funding and delivery.

Job description

We are looking for a Post-Closing Specialist to join a contract opportunity in Austin, Texas. This position supports a focused mortgage documentation initiative centered on clearing outstanding post-closing items and keeping loan files complete and compliant. The ideal candidate brings strong organization, sound judgment, and the ability to manage a high-volume pipeline while maintaining accurate updates and timely follow-through.

Responsibilities:

• Oversee an assigned pipeline of post-closing files and investigate unresolved documentation needs to move each loan toward completion.

• Communicate with title companies, settlement partners, attorneys, and other external contacts to obtain missing collateral documents and status updates.

• Track outstanding items such as final title policies, lien releases, and related mortgage documents, ensuring follow-up actions occur on schedule.

• Examine incoming documentation for accuracy, completeness, and alignment with post-closing requirements before marking files as resolved.

• Elevate stalled requests, unresponsive vendors, and exception files to management when standard follow-up efforts do not produce results.

• Maintain detailed records of daily output, file status, inventory activity, and resolution progress using Excel and internal tracking tools.

• Balance a large volume of active files while meeting defined productivity targets and quality standards in a deadline-driven environment.

• Prior experience in mortgage post-closing, loan operations, trailing documents, collateral documentation, or a closely related function.
• Working knowledge of final title policies, releases of lien, and other records required to complete post-closing review.
• Ability to communicate professionally with third-party vendors, including title agencies, closing partners, and legal contacts.
• Proficiency with Microsoft Excel and data management systems used for tracking inventory and reporting progress.
• Strong attention to detail with the ability to review documents carefully and identify missing or incomplete information.
• Demonstrated ability to organize work independently, manage competing priorities, and keep multiple files moving efficiently.
• Background in title, escrow, document recovery, or aged inventory remediation is preferred.
