Job description

As a Patient Care Phone Operator, you will be responsible for scheduling, confirming, and managing appointments for patients, ensuring smooth communication between patients and healthcare providers. You will also be responsible for handling inquiries, maintaining accurate patient records, and ensuring an efficient flow of operations in the healthcare setting.โ€ฏ
LOCATION: Hybrid, in office two days a week (scheduled to be determined)
TYPE: Full-Time, one-half day Saturday a month Mandatory
Essential Duties and Responsibilities:

  • Answer all incoming scheduling calls promptly and professionally.
  • Answer incoming calls from outside vendors, patients with questions, providers, hospitals, and other stakeholders, routing them to the appropriate individual or department.
  • Send messages via the EMR system (eCW) or use Teams to page the relevant person or department for follow-up.
  • Document patient calls in the EMR system (eCW), verifying patient demographics, insurance details, reason for the visit, and collecting payments as necessary.
  • Schedule, reschedule, or cancel patient appointments as requested, ensuring all details are correctly entered into the system.
  • Provide excellent customer service by assisting patients quickly and efficiently while maintaining a positive and friendly attitude.
  • Ensure patients are fully aware of their appointment details, including time, location, and provider information.
  • Work collaboratively with the scheduling team to meet established KPIs for call response time, patient satisfaction, and accuracy of documentation.
  • Assist with any additional scheduling or administrative duties as requested by the scheduling team or manager.
  • Ensure all information is accurately recorded in the EMR, including verification of demographics and insurance, as well as patient collections.
  • Request medical records as indicated for any emergency room or hospital overnight stay via eCW.
  • Support patients with any questions regarding scheduling, insurance, or general appointment-related concerns.
  • Participate in training and team meetings to stay up to date on system changes, process improvements, and customer service best practices.
  • Perform other tasks as assigned by the manager.
REQUIREMENTS
  • Education: High school diploma or equivalent
  • Experience: 1-2 years of experience in healthcare administration, customer service, or appointment scheduling.
  • Communication Skills: Strong verbal and written communication skills with a focus on customer service and a friendly demeanor.
  • Organizational Skills: Excellent time-management skills and the ability to manage multiple tasks simultaneously.
  • Technical Skills: Proficient in Microsoft Office Suite; experience with scheduling software eClinical preferred.
  • Attention to Detail: High level of accuracy and attention to detail, ensuring correct appointment details are recorded.
  • Problem Solving: Ability to handle last-minute changes, cancellations, and rescheduling in a calm and professional manner.
