Job Description

The Order Management Specialist is responsible for managing the order process from the acceptance of an order from the customer through the completion of the process of invoicing. This position will have contact with multiple areas of the sales and production process and with external relationships including Logistics providers, customers, and others. The Order Management Specialist will build relationships with business segment team members to collaborate and support business plans and provide solutions throughout the process. 

Responsibilities
  • Collaborates across functions: Sales & Sales Ops, Manufacturing, Supply Planning, Logistics, Finance and Product Management, to ensure customer requirements are satisfactorily met
  • Aligns SAP order data with material availability and logistics timing, to meet customer delivery requirements, revenue timing, and cash forecasting
  • Fulfills orders, including order entry, administration, shipping and deliver of goods from receipt to delivery.
  • Confirm and verify information on purchase orders, including pricing, products, Inco term, freight term, payment term.
  • Accurate data entry into SAP system; including order entry, credits, debits, and pricing
  • Coordinate and arrange logistics with 4PL providers to meet customer delivery requirements
  • Identify and work with relevant data owners to resolve discrepancies on customer purchase orders related to price, ship-to address, terms based on SAP customer master settings
  • Communicate and confirm impact on material ready and shipping dates with customer requested delivery date
  • Generate and modify customer facing documents as required to meet customer expectations
  • Support resolution on customer issues associated with invoicing, logistics, product quality, and supply timing
  • Provide backup support to team members.

Key Responsibilities Export Role Only:

  • Possess strong understanding of International Incoterms.
  • Collaborate with freight forwarder(s) to secure bookings that meet customer requirements.
  • Generate and approve required export documentation for all shipments.
  • Collaborate to resolve logistics issues, such as: container equipment availability, new ocean route/lane requirements, booking changes, documentation errors.

  • Bachelor's degree or similar, relevant experience
  • Attention to detail.

  • Excellent organizational skills and ability to manage and prioritize multiple issues simultaneously.
  • Ability to integrate information and make decisions in support of business goals.
  • Excellent interpersonal and communication skills.
  • Ability to effectively interact with internal and external associates.
  • Sense of urgency and ability to make critical decisions independently.
  • Computer skills required including Microsoft office
