Job description


The COA Order Processor is a member of the Central Order Administration (COA) Team and is responsible for processing customer print orders from intake through routing to the appropriate Staples Digital Production Facility (DPF). This role ensures that order specifications, artwork, and configurations are production-ready and aligned to established standards so orders flow seamlessly through DPF automation systems.
Order Processors collaborate closely with internal partners, including Design Teams and DPFs, to resolve issues related to artwork or specifications prior to production. Success in this role requires strong attention to detail, effective communication, and the ability to manage multiple priorities while ensuring orders are produced accurately and delivered on time to meet customer expectations.
Customer Service Responsibilities
  • Deliver excellent customer service through professional phone, email, and written communication.
  • Monitor and respond to inboxes, store inquiries, and incoming correspondence in a timely manner.
  • Accept, route, and transfer requests to appropriate partners, following up as needed with internal stakeholders or customers.
  • Utilize multiple order entry, tracking, and production systems simultaneously.
  • Effectively manage multiple priorities, shifting between job functions such as data entry, order processing, and customer support.

Job Ticketing & Routing Responsibilities
  • Review, validate, and process print orders for production readiness.
  • Make minor edits and updates to Solution Builder job tickets as required.
  • Verify that order specifications and print files match to ensure compatibility with DPF automation systems.
  • Review and clearly document due dates, shipping details, and special instructions; communicate updates to DPFs as needed.
  • Collaborate with Design Teams to ensure files are print- and production-ready prior to routing.
  • Utilize the Order Routing Matrix to determine the appropriate Digital Production Facility.
  • Apply standard file naming conventions for all production-ready files.

Skills and Competencies
  • Demonstrated ability to manage multiple priorities and job functions in a fast-paced environment.
  • Strong attention to detail and sound organizational skills.
  • Proven ability to build relationships and work collaboratively across teams.
  • Experience in roles requiring negotiation, problem-solving, and proactive issue resolution.
  • Ability to read, interpret, and follow instructions while identifying missing or incorrect information and addressing issues proactively.

Basic Qualifications
  • 2-4 years of experience in a Customer Service or Office Administration role.
  • Proficiency with computer applications including Microsoft Office, Adobe Acrobat, and FlightDeck.
  • Strong written and verbal communication skills.
