Job Title: Office & Operations Manager (Bookkeeping & Cash Flow)

Company: Jersey Stair Supply

Location: Trenton, NJ 08610 (Hybrid Remote)

Job Type: Full-Time (Approx. 40 hours/week)

Pay Rate: $25.00 per hour

Schedule: Day shift, Monday to Friday

About Us:

Jersey Stair Supply is a small, family-owned business specializing in stair parts, railings, balusters, newel posts, handrails, and related building materials. We are looking for a dependable, hands-on Office & Operations Manager to bring structure, consistency, and financial organization to our daily operations.

Job Summary:

This position combines administrative management, bookkeeping, and operational logistics. This is a hybrid role requiring a combination of in-office work for physical operations and remote work for financial and administrative duties.

Key Responsibilities:

  • Financial & Bookkeeping Management:
    • Maintain accurate financial records and manage daily/weekly cash flow monitoring.
    • Prepare and issue customer invoices; follow up on outstanding balances and unpaid accounts (Accounts Receivable).
    • Organize vendor bills, track upcoming payments, and manage Accounts Payable.
    • Provide ownership with clear summaries of receivables, payables, and financial priorities.
  • Operations & Logistics Coordination:
    • Track customer orders from purchase through final job-site delivery.
    • Schedule deliveries, customer pickups, and supplier orders.
    • Coordinate with suppliers and vendors to prevent late orders and inventory delays.
    • Serve as the main point of contact for customer inquiries regarding order status.
  • General Office Administration:
    • Maintain organized physical and digital records of receipts, invoices, and purchase orders.
    • Identify potential operational bottlenecks or financial discrepancies proactively.
    • Assist ownership with daily administrative tasks and process improvements as needed.

Qualifications:

  • Experience: 2+ years of experience in bookkeeping, office management, administrative coordination, or accounts receivable/payable preferred.
  • Software Skills: Proficiency with QuickBooks, business accounting tools, and general office software.
  • Language Requirements:
    • English proficiency (Required)
    • Punjabi and/or Hindi speaking ability (Strongly Preferred)
  • Skills & Attributes:
    • Strong organization, number accuracy, and attention to detail.
    • Ability to work independently during remote days and stay on top of deadlines.
    • Strong communication skills for professional follow-ups with customers and suppliers.
