POSITION SUMMARY
We are seeking a highly organized, detail-oriented Operations Support Specialist to provide administrative and operational support across multiple areas of the business. This position works closely with service, operations, purchasing, and documentation teams to support daily activities related to shipping, invoicing, inventory, documentation, and ERP transactions. The ideal candidate is dependable, adaptable, and comfortable balancing a variety of responsibilities in a fast-paced environment. Success in this role requires strong attention to detail, effective communication, self motivated, and a team-first approach with a willingness to step in wherever needed to support the organization.
KEY DUTIES AND ESSENTIAL FUNCTIONS:
โ€ข Answer incoming calls and route within the company.
โ€ข Process incoming and outgoing shipments.
โ€ข Process service invoicing, warranty claims, and RMAs under the direction of service managers and purchasing.
โ€ข Process inventory transfers and project material staging/kitting.
โ€ข Return parts from field service group to inventory.
โ€ข Inventory management including monitoring and maintaining inventory levels.
โ€ข Assist documentation group in compiling submittals and O&M's.
โ€ข Assist operations with processing of purchase orders and invoicing in company ERP.
โ€ข Demonstrate flexibility and a team-first approach by stepping in to support operational needs, special projects, and other priorities as needed.
SUPERVISORY RESPONSIBILITIES:
โ€ข None
REQUIRED QUALIFICATIONS:
โ€ข High school diploma or equivalent required; an associate or bachelor's degree in business administration, project management, or a related field is preferred.
โ€ข 2-3 years of experience in an administrative, project coordinator, or support role.
โ€ข Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PDF editors).
โ€ข Good communication and interpersonal skills with the ability to interact professionally with co-workers, & management.
โ€ข Must be able to handle multiple tasks, have excellent attention to detail, and be willing and able to learn new technologies quickly.
PREFERRED QUALIFICATIONS:
โ€ข Experience working with ERP and CRM systems
Compensation: $27.12 - $30.51 per hour, based on experience and qualifications
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to talk or hear. The employee must occasionally lift and/or move up to 40-50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. Standard office environment. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles. The noise level in the work environment is minimal.
