Job description

Job Title: Executive Business Partner/Executive Admin
Job Description
We are seeking a highly proactive and detail-oriented Executive Business Partner to support senior HR leadership and key executive stakeholders. This role extends beyond traditional administrative support and serves as a trusted partner responsible for optimizing executive effectiveness, driving operational execution, and enabling a best-in-class employee experience.
Responsibilities
  • Manage complex calendars and coordinate travel for senior executives.
  • Prepare executive-level presentations and ensure seamless daily operations.
  • Contribute to employee engagement initiatives and coordinate events such as town halls and leadership meetings.
  • Support cross-functional projects and manage daily operations for four senior executives across different business units.
  • Exercise strong decision-making capabilities and anticipate needs before they arise.
  • Operate independently in a fast-paced, high-visibility environment.
Essential Skills
  • Bachelor's degree preferred (or equivalent experience).
  • 4+ years supporting senior executives.
  • Strong emotional intelligence and interpersonal awareness.
  • Ability to manage multiple priorities and shifting deadlines.
  • High level of discretion with confidential information.
  • Experience with Excel, Calendar Management, Event Coordination, Data Handling, and Expense Management.
  • Proven experience supporting multiple senior leaders (VP level or above) with complex priorities.
  • Advanced skills in Excel for creating Pivot Tables and manipulating datasets.
  • Mastery of PowerPoint for building polished executive-level presentations.
  • Experience with expense reporting, PO processes, and invoicing systems (such as Concur, SAP, or similar).
  • Expert-level coordination of high-volume, changing schedules and international travel.
  • Demonstrated ability to anticipate needs and act proactively with little direction.
Additional Skills & Qualifications
  • Exposure to Oracle Fusion.
  • Experience working closely with HR leadership.
  • Background in employee engagement program execution.
  • Familiarity with Power BI data exports/reporting.
  • Experience supporting cross-functional executive teams (Finance, IT, Operations).
  • Vendor coordination and facilities support.
  • Event planning for large-scale or executive-level meetings.
  • SharePoint collaboration tools.
  • Project tracking and documentation management.
  • Experience in highly matrixed or global organizations.
Work Environment
The work schedule is Monday to Friday from 8am to 5pm, with potential for occasional work outside of standard hours, which will be compensated. Travel is not required unless converted, and this will be infrequent. The role supports four executives: VP of HR, Finance, Network Operations, and IT. The environment is dynamic and collaborative, with a fast-paced culture and engaging leadership.

Pay and Benefits
The pay range for this position is $37.50 - $40.86/hr.
