Position Summary

The Executive Operations Assistant provides high-level administrative and operational support to the Vice President of Operations and plays a key role in supporting the day-to-day success of the organization. This position helps drive operational efficiency, supports departmental performance initiatives, and assists with projects that impact the company's overall success.

The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment. This role offers opportunities for professional growth and advancement within operations.

Salary Range: $18.00 - $20.00 per hour, based on experience

Schedule: Monday through Friday, 8:00 a.m. to 4:30 p.m.

Location: Corporate Office in Grand Island, Nebraska

Reports To: Vice President of Operations

Essential Duties and Responsibilities Executive Support
  • Provide direct administrative support to the Vice President of Operations
  • Manage executive calendars, meetings, appointments, and scheduling
  • Prepare meeting agendas, record meeting notes, and distribute action items
  • Coordinate communication between departments, leadership, vendors, and clients
Reporting and Analysis
  • Prepare and maintain weekly and monthly production reports
  • Generate and analyze operational performance reports
  • Create reports, presentations, spreadsheets, and operational documents
Operations Support
  • Track operational projects, deadlines, and follow-up items
  • Support process improvement initiatives and operational efficiencies
  • Assist with special projects and reporting requests from leadership
  • Monitor and maintain accounts within business process workflows
  • Update accounts within the system using client payment reports
  • Review and verify information related to new and existing client files
  • Maintain confidential records and sensitive company information
  • Perform other duties as assigned
Qualifications

  • Bachelor's degree or equivalent professional experience preferred
  • Previous Executive Assistant, Operations Assistant, or administrative support experience preferred
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Access
  • Strong computer, internet, and email skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities
  • Ability to work independently while also collaborating effectively within a team environment
  • Professionalism, discretion, and the ability to handle confidential information appropriately
