Role Summary
The Onsite Administrative Assistant assists in the management of daily operations of community associations, delivering professional services and exceptional customer satisfaction in accordance with the service level agreement, and in alignment with the company's guiding principles.
Responsibilities
  • Assist the Office Coordinator as acting receptionist for all walk-ins and incoming phone calls
  • Assist in assigning voicemails and emails from the queue to the appropriate individual queues
  • Answer all questions from walk-ins/phone/email within 48 hours, or escalate to management those who may need further assistance
  • Assist ACAM to monitor/review/manage all ACC requests between the ACC and individual owners, as well as email ACC approvals/denials, as directed. Escalate to onsite Assistant Manager as needed
  • Assist Office Coordinator and Inspector(s) by calling, emailing, or meeting with owners whose violations may need assistance, and escalate to management as needed
  • Assist Office Coordinator in distributing mailbox numbers and logos, as well as process payments as needed
  • Assist the Office Coordinator in distributing gate transmitters and processing payments as needed
  • Alert Office Coordinator about mailbox numbers, gate transmitters, or other supplies needed prior to running out
  • Assist Office Coordinator in processing lease packet paperwork and payments as per on site policies and procedures
  • Assist the Office Coordinator in processing receipts for payments and give the owners' checks to on-site manager for processing
  • Assist with additional projects or tasks as needed and directed by the Manager.

  • High school diploma or GED required. Associate degree preferred
  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers
  • Excellent computer proficiency (MS Office - Word, Excel, and PowerPoint)
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within the parameters of instructions given, prescribed routines, and standard accepted practices
  • HOA experience is ideal
Physical Requirements
  • Ability to sit for prolonged periods at a desk and work on a computer.
  • Ability to occasionally stand, walk, bend, or reach as needed.
  • Ability to lift or move objects up to 10-15 pounds (e.g., files, office supplies).
  • Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
  • Visual acuity to read printed materials, spreadsheets, and computer screens.
  • Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
  • Ability to work in a standard office environment with moderate noise levels.
  • Ability to work a standard schedule, with occasional extended hours as required.

Pay
$17.00 - $19.00 per hour (depending on experience)
