We are seeking an enthusiastic, high-energy, customer-focused and highly professional office assistant to join our team in our Corporate Headquarters in Naperville, IL. This assistant will be a key player in ensuring the success of daily office operations and activities. They will be the "face" of Wilton Brands LLC as they greet visitors with a smile in their voice! This role focuses on 4 main responsibilities: Reception duties, Office Support, Expenses Management, and Support for Communications and Events.
Ingredients
  • Provide basic concierge services, adhering to policies for visitors and Wilton School students, managing solicitors as well as answering/routing incoming calls on the general phone line.
  • Managing all office inventory (office refreshments, coffee, bathrooms, paper products, and office supplies) and stocking all areas.
  • Maintaining office dรฉcor and upkeep of common areas (conference rooms, collab space, hot desk area).
  • Manage mailroom, deliveries and dock activity.
  • Manage employee badges including creating new employee badges, reprinting lost badges, tracking of guest badges, and badge access system maintenance.
  • Placing orders for cross-functional team members.
  • Expense Reporting of all corporate credit card transactions.
  • Creating and managing Purchase Orders for office expenses.
  • Assist with quarterly communications such as Office Newsletter and Touchbase meetings.
  • Assist with execution of company-wide philanthropic events and Naperville Office in-office activities.
  • Respond to consumer inquiries in a timely manner and in the brand tone of voice.

Equipment
  • Some college education preferred.

Instructions
  • High proficiency in MS office, specifically excel, along with strong analytical capabilities.
  • Exceptional interpersonal skills, including strong written and verbal communication.
  • Must possess strong computer skills; SAP experience preferred.
  • Ability to develop & maintain relationships while collaborating cross-functionally within areas of the business.
