We're looking for an Office Administrator who takes initiative. This is not a role for someone waiting to be told what to do โ it's for someone who sees what needs to happen, takes ownership of it, and drives it to completion.
You'll be the connector between our office, project teams, vendors, subcontractors, and company leadership. You'll keep the office running, projects supported, and records organized.
What You'll Do:
Manage day-to-day office operations, supplies, mail, deliveries, and general office needs.
Serve as the first point of contact for calls, visitors, vendors, and inquiries.
Provide administrative support to project teams, including project files, meeting agendas, submittal and document uploads.
Support light project accounting โ basic invoicing, billing documentation, AR tracking, and vendor payment follow-up.
Coordinate vendor and subcontractor onboarding including W-9s, Certificates of Insurance, and banking documentation.
Track COI expirations, license renewals, insurance certificates, and company registrations.
Coordinate onsite project support services (dumpsters, deliveries, equipment rentals) as directed.
Maintain company records, systems, and reports with accuracy and consistency.
Support special projects and process improvements.
Required:
Demonstrated initiative โ a proven track record of identifying what needs to be done and doing it without being asked
Minimum 3 years of administrative, office coordination, or project support experience
Strong organizational, time-management, and multitasking skills
Excellent written and verbal communication
High attention to detail and commitment to accuracy
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
Ability to work independently across multiple priorities
Ability to maintain confidential information
