Job description

Sandvik Mining has an opening for a Workshop Administrator in Brier Hill, PA!
Sandvik Mining, the leading global supplier of equipment, tools, service and technical solutions for the mining industry. As the Workshop Administrator, you will set up jobs for the workshop, prepare packets for supervisors, and enter, track and expedite all workshop work in process (WIP) orders.
MAIN RESPONSIBILITIES
PERFORMANCE MEASURES
  • Aurora S34 system processing
  • Open field service jobs for billable work, warranty and jobs for other areas of parts & service
  • Open N00 jobs for new units; PDI, warranty, other work to be performed on the new unit
  • Maintain/track open field service jobs
  • Order parts and/or outside services
  • Coordinate with vendors for orders
  • Process all system and hard copy documentation for all WIP orders
  • Open lps tickets for expediting, pricing, etc.
  • Prepare quotes and invoices and/or close field service and WIP jobs
  • Follow up with Sandvik internally as required to satisfy the requirements of WIP
  • Answer internal and customer inquiries on service, parts availability, delivery times and status of orders
  • Enter technician labor in EQ
  • Look up parts, pricing and availability to provide quotes to customers for service work and audits
  • Open/assist jobs with parts needed from stock equipment
  • Provide monthly reports for team and customers

EQ / IT
• Open/maintain branches in aurora
• Maintain/create technicians in aurora
• Maintain labor cost and sell rate in aurora
• Maintain user parameters, team authorizations and user/branch authorities
• Train/Assist coworkers in aurora when issues arise, and they need assistance
• Assist co-workers with getting access to aurora tasks
Aurora and Sales Tools
• Enter warranty sales tools claims and close aurora job upon acceptance or rejection of claim
Administrative Duties
• Order vehicle safety equipment for fleet
• Order uniforms for field service technicians
• Order tools for field service technicians
• Order office supplies for technicians
Accounting
• Maintain AP links for orders placed; amend and receive orders
• Work with AR to resolve outstanding balances
• Work with vendors and customers to be set up in Sandvik ERP
Additionally, the Workshop Administrator will:
• Process all system and hard copy documentation for all WIP orders
• Secure parts and materials for technician jobs
• Prepare quote information for parts and service jobs
• Coordinate with vendors for orders
• Follow up with Sandvik internal stakeholders as required to satisfy the requirements of WIP
• Prepare, quote and invoice jobs
• Verify and enter technician time into jobs
• Produce reports of in process, backlog and future jobs
• Enter warranty claims in sales tools to the factory
