Job description

A leading law firm is seeking an experienced IP Docketing Manager to oversee its intellectual property docketing operations across patent, trademark, copyright, and related matters. This role can be fully remote, or hybrid if near a major office. This is a leadership opportunity for an experienced IP detail oriented who enjoys managing teams, improving processes, ensuring accuracy, and partnering with attorneys and operational teams to deliver high-quality support.

• Lead and manage a team of IP docketing professionals, including workload distribution, prioritization, training, development, and performance management.

• Oversee the accuracy, timeliness, and consistency of docketing activities across the team.

• Manage quality control and audit initiatives, identify process gaps, and implement corrective actions.

• Analyze operational metrics, including workload volume, turnaround times, overdue items, and error rates, and communicate trends and risks to leadership.

• Monitor changes in domestic and international IP laws, rules, and practices and coordinate updates to docketing procedures and systems.

• Maintain docketing rules, templates, workflows, and standard operating procedures in partnership with IP Operations.

• Serve as a subject matter expert on IP prosecution procedures, docketing requirements, and best practices.

• Oversee IP portfolio intake and transitions, including new client matters, attorney transitions, and client departures.

• Ensure the accurate setup, mapping, and transfer of portfolio data within IP management systems.

• Coordinate onboarding and training for attorneys and staff on IP management and docketing systems.

• Partner with internal departments and cross-functional teams to improve workflows, processes, and service delivery.

• Support recruiting, onboarding, training, performance reviews, scheduling, coverage, and other team management responsibilities.


Qualifications:

• 5+ years of progressive Intellectual Property management experience, including experience leading or supervising IP docketing professionals.

• Strong knowledge of patent and trademark prosecution processes from inception through completion.

• Prior experience working in a large law firm environment.

• Experience with IP management and docketing systems such as Anaqua and PATTSY.

• Experience with document and database management systems such as iManage.

• Proficiency with Microsoft Office, including Outlook, Word, Teams, Excel, and PowerPoint.

• Experience with project management and change management methodologies.

• Strong leadership, analytical, organizational, and problem-solving skills.

• Exceptional attention to detail and commitment to accuracy.

• Excellent written and verbal communication skills.

• Ability to manage multiple priorities, competing deadlines, and changing business needs in a fast-paced environment.

• Bachelor’s degree or equivalent combination of education and experience.
