Job description

We are looking for a detail-oriented, multi-tasking Customer Service Representative to join our team. In this role, you will act as a key liaison between our customers, suppliers, and internal accounting team. You will manage the entry of purchase orders (POs), and process accurate supplier and client invoices using Microsoft Access.

Key Responsibilities

  • Customer Support: Serve as the primary point of contact for customer inquiries via phone and email, ensuring a positive, professional experience.
  • Purchase Orders: Enter and track POs for suppliers, verifying accuracy in item descriptions, quantities, and pricing.
  • Invoicing: Accurately generate, process, and send invoices to customers using Microsoft Access.
  • Database Management: Keep the Microsoft Access database updated with real-time purchasing, inventory, and billing data.
  • Support Sales staff with processing orders, sales invoices, payments to suppliers and freight forwarders
  • Manage order process by tracking shipping and providing shipping information, work with freight forwarders on documentation and customs clearance and provide final invoicing.
  • Resolve customer issues and complaints
  • Collaborate internally with multiple departments including sales and accounting

Qualifications and Skills:

  • Analytical skills and basic math skills
  • Able to build and maintain relationships with clients
  • Excellent time management and organizational skills
  • Proficient in working both independently and as part of a team
  • Experience with Social Media and AI tools a plus but not required
  • Strong attention to detail, accuracy and strong organizational skills
  • Excellent verbal and written communication skills to handle internal and external vendor/customer relationships.

Education and Experience Requirements:

  • Bachelor's degree (preferred but no required)
  • 3+ years' experience working in an office as a customer service representative with data entry
  • Must be proficient in MS Office, MS Outlook, Excel, MS ACCESS Data Entry
  • Experience in the paper industry a plus but not required
