Job Title: Office Manager
We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee daily office operations, staff coordination, onboarding, scheduling, and administrative functions in a fast-paced healthcare/clinical environment. The Office Manager will play a key leadership role in supporting clinic operations, employee management, workflow efficiency, and technology systems while ensuring a professional and collaborative workplace.
The ideal candidate is a strong communicator, skilled problem-solver, and experienced leader who can manage multiple priorities while supporting staff and operational excellence.
Key Responsibilities
Human Resources & Employee Management
- Manage employee attendance and workforce systems, including:
- Monitoring employee clock-in/clock-out activity through iSolved
- Reviewing and approving PTO requests / employee timecards.
- Support recruitment and onboarding efforts:
- Coordinate with HR to create job postings and review candidates
- Send onboarding paperwork to selected candidates
- Conduct candidate interviews and assist in hiring decisions
- Notify management of job offers, compensation, and selected candidates
- Track employee 90-day evaluation periods and coordinate supervisor evaluations
- Ensure benefits information is distributed to new employees
- Create and update employee job descriptions with HR.
- Supervise onboarding and training of new employees:
- Oversee employee orientation and training
- Ensure staff are properly trained on workflows, systems, compliance etc.
- Conduct weekly check-ins with new hires during their first 90 days
Office Administration & Operations
- Coordinate with IT vendors regarding system access, server permissions, and technical support when needed.
- Manage employee access to internal portals and systems.
- Learn and maintain document management systems, including DocuWare
- Ensure employee files are updated and maintained electronically
· Manage clinician licensing and credentialing processes to maintain compliance.
· Coordinate meetings and events with external partners.
· Scan and process electronic checks through banking platforms.
· Manage petty cash, including monthly balancing and reporting
· Maintain employee records, including birthdays and anniversaries
· Distribute annual employee performance evaluations to supervisors
· Support departments with form creations.
· Maintain office organization, including shared staff areas.
Electronic Health Records (eCW) Administration
- Maintain employee access and profiles in eClinicalWorks (eCW), including:
- Adding new employees and assigning role memberships
- Configuring employee visibility and permissions
- Updating user statuses and terminating access when needed
- Managing staff scheduling, templates, and provider availability
- Locking/unlocking staff notes as needed
- Managing out-of-office scheduling, meetings, and clinic blocks
- Updating provider schedules and staff availability
- Assisting staff with technical support coordination
Clinic Coordination
- Oversee clinic scheduling and operational calendars for all 3 locations
- Collaborate with remote offices to manage scheduling changes
- Ensure staffing availability and operational readiness for clinic dates
Staff Leadership & Performance Management
- Serve as the primary point of contact for staff attendance concerns, scheduling updates, and workplace issues
· Schedule and facilitate monthly and bi-monthly meetings (Doctors, Management, Billing, Chemo, and Staff), including agenda creation, Zoom setup, and meeting minutes
· Address employee concerns related to HR, technology, and interpersonal matters
· Conduct disciplinary meetings and assist with performance management
· Participate in employee termination procedures when necessary
· Foster teamwork, accountability, and open communication across departments
Operational Oversight & Workflow Management
- Conduct monthly meetings with department leaders to improve workflow efficiency
- Hold weekly meetings with key coordinators to ensure schedules, workflows, and operational needs are addressed
- Monitor clinic readiness and ensure procedures are prepared in advance
- Provide weekly operational status updates to Operations Manager regarding issues requiring attention
Qualifications
- Previous experience in office management, healthcare administration, clinic operations, or a similar leadership role preferred
- Strong organizational and multitasking skills
- Excellent communication and conflict-resolution skills
- Ability to maintain confidentiality and professionalism in sensitive situations
- Strong attention to detail and ability to work independently
Preferred Skills
- Experience working in a healthcare or medical office environment
- Knowledge of employee scheduling, onboarding, and payroll systems
- Experience coordinating across multiple departments and locations
- Familiarity with ECW scheduling systems and Microsoft Office.
- Ability to lead teams and improve operational workflows
Schedule
Full-time ( Monday to Friday 08:00am to 05:00pm)
Location
Albuquerque, NM
Compensation
$28–$34/hour (depending on experience).
