Engage and Ignite Counseling is an established mental health practice in Albuquerque, serving roughly 400 to 500 client appointments each month. About the role
This is an Office & Intake Coordinator role. It is not entry-level. The person in this seat holds the operational backbone of the practice: the scheduling, the client onboarding, the financial flow, and the office systems that let our clinical team do their work without friction. When this role is strong, the whole practice moves with less effort.
You will be the warm, competent first point of contact for clients reaching out about their first appointment, the steady hand that keeps provider schedules full and clean, and the person who makes sure clients can confidently begin their work with us.
What you will own
- Client-facing and scheduling. Answer phones, return voicemails, respond to email, and let clients into the office. Identify provider openings and fill schedules from the waitlist. Maintain and report on waitlist activity. Send out referrals. Collect co-pays.
- New client onboarding. Send paperwork to new clients and follow up on completion. Run eligibility checks, including verifying uploaded insurance at least two days before the first session and gathering missing cards within two sessions. Capture insurance information from clients. Confirm benefits with our billing partner. Verify that each appointment is coded correctly.
- Routine financial work. Check and collect missing co-pays. Create and distribute superbills. Track Medicaid statuses. Upload receipts and support monthly reconciliation against our practice management system.
- Office coordination. Daily office reset (cleaning, vacuuming, restocking) and supply orders. Maintain employee documents. Coordinate small office traditions (birthday and anniversary cards, Friday lunch orders).
- Compliance tracking. Track provider license renewal reminders and continuing education compliance, escalating to leadership when needed.
What we need from you
Required
- Electronic Health Record (EHR) experience. Working knowledge of SimplePractice is strongly preferred.
- A working understanding of medical insurance and billing basics. You should know how a claim moves through the system, what an eligibility check is, and how to think about insurance from the practice's side of the table.
- Career-track administrative experience. This role is rooted in office leadership, and we are looking for someone for whom operations is the work.
- Organized. You can manage several workstreams, switch between them, and not drop threads.
- Comfort with digital tools and a willingness to learn new systems.
- High integrity and accountability. Honest about mistakes, transparent about what you know and do not know, follow through on what you commit to.
- Ability to pass a background check.

A note on fit
This is a career office manager position. Our experience has been that the role is best served by someone for whom operations and office leadership is the destination, rather than a stepping stone toward another career. For this specific seat, we are looking for a long-term partner in operations.
Compensation and schedule
- Part-time, 30 to 32 hours per week
- In-person at our Albuquerque office
- Tuesday through Friday, day shift
- Pay range: $18-$20
