Maintenance Planner - HVAC
Full time Position
Location: Wilmington, DE
Position Summary
This role is responsible for developing and continuously improving maintenance work plans that support the safe, efficient, and reliable execution of facility and infrastructure maintenance activities. The Maintenance Planner uses independent judgment to define work scope, identify planning requirements, assess risks, and determine the resources needed for successful execution.
The position owns all pre-execution planning activities, ensuring work packages are fully developed before being released for scheduling. This includes defining scope, work processes, labor and material requirements, safety considerations, and execution prerequisites. The Maintenance Planner works closely with Maintenance, Operations, Engineering, Procurement, and Site Tenants to support asset reliability, operational excellence, and continuous improvement initiatives.
Key Responsibilities

  • Develop detailed maintenance work packages, including task sequences, labor requirements, materials, tools, permits, and safety requirements.
  • Conduct field assessments and technical reviews to validate work scope and readiness.
  • Determine the appropriate planning strategy and level of detail for maintenance activities.
  • Ensure planned work complies with site safety standards, procedures, and regulatory requirements.
  • Identify equipment, materials, contractor services, and other resources needed for successful execution.
  • Maintain and improve job plans, equipment records, technical documentation, and master data within SAP and related systems.
  • Analyze planning performance and recommend improvements to maintenance effectiveness and asset reliability.
  • Support operational excellence, reliability, and continuous improvement initiatives.
  • Collaborate with maintenance, engineering, procurement, and operations teams to improve planning quality and execution outcomes.
  • Create and maintain standardized job plans to promote consistency and efficiency.
  • Capture execution feedback within SAP to improve future planning accuracy.
  • Support and enhance the site's Work Management Process.
Required Qualifications
  • High school diploma or GED.
  • Strong knowledge of steam, chilled water, HVAC systems, and associated equipment, including air handlers, motors, heat exchangers, belts, sheaves, and control valves.
  • Understanding of equipment hazards, failure modes, and maintenance restoration techniques.
  • Ability to build detailed work plans, including labor estimates, materials, tools, skills, and task sequencing.
  • Experience translating repair procedures into SAP task lists, work orders, and job packages.
  • Ability to interpret technical drawings, manuals, and vendor documentation to create effective maintenance plans and execution packages.
  • Proficiency with Microsoft Office 365 and other computer applications.
  • Strong problem-solving skills and ability to work independently.
  • Knowledge of Wilmington Area Standards is preferred.
Preferred Qualifications
  • HVAC Journeyperson certification or equivalent experience (5+ years).
  • Ability to obtain a State HVACR License within one year.
  • At least 1 year of experience using SAP or a similar maintenance management system.
  • Advanced SAP experience with 3+ years of hands-on use preferred.
SAP Experience Requirements
Candidates should be able to use SAP or a similar computerized maintenance management system (CMMS) to plan, document, track, manage, and update maintenance activities, including:
  • Creating, reviewing, and updating work orders.
  • Building and maintaining job plans and task lists.
  • Updating equipment and asset records.
  • Checking inventory, materials, parts, and Bill of Materials (BOM) availability.
  • Monitoring and tracking preventive maintenance programs.
