Job description

Job Purpose:
The Scanning Lead oversees all document imaging and mailroom operations, ensuring high-quality scanning, accurate document processing, and timely distribution of incoming and outgoing correspondence. This position leads the scanning team, maintains document integrity, and ensures compliance with document retention policies and postal regulations while supporting a high-volume administrative environment.
Responsibilities:
  • Lead the daily operations of the document scanning and imaging team.
  • Ensure documents are properly prepared, scanned, indexed, and uploaded into document management systems.
  • Perform quality control reviews to ensure scanned documents are complete, legible, and accurately processed.
  • Operate and maintain high-volume scanning equipment and document capture software.
  • Manage incoming and outgoing mail, including sorting, postage, metering, and distribution.
  • Coordinate document retention, storage, and secure destruction in accordance with organizational policies.
  • Maintain mailroom supplies, scanning equipment, and operational inventory.
  • Ensure compliance with USPS regulations and internal document handling procedures.
  • Train and mentor scanning personnel while monitoring productivity and quality standards.
  • Prepare reports and support continuous process improvement initiatives.
  • Perform other duties as assigned.
Education and Experience:
  • High school diploma or GED required.
  • Experience leading document scanning, document imaging, or records management teams.
  • Experience managing mailroom operations in a high-volume environment.
  • Experience using document capture or imaging software such as OpenText Intelligent Capture, Kofax, Captiva, or similar platforms preferred.
  • Strong organizational, quality control, and time management skills.
  • Ability to manage multiple priorities while meeting established deadlines.
  • Experience with Microsoft Office Suite.
  • Ability to obtain and maintain any required background investigation or credentials
