Position Overview
We are seeking a highly organized and versatile Office & Operations Coordinator who enjoys wearing multiple hats and thrives in a dynamic environment. This is a key position within our growing U.S. organization, supporting daily business operations while helping us build efficient processes for continued growth. The ideal candidate is proactive, detail-oriented, and comfortable managing a broad range of responsibilities-from customer service and logistics to project coordination and office administration.
Key Responsibilities
Order Management & Customer Service
  • Manage the complete order fulfillment process from order entry through delivery.
  • Coordinate with customers, suppliers, warehouses, and transportation partners.
  • Respond to customer inquiries and provide timely order updates.
  • Resolve shipping and delivery issues professionally and efficiently.
  • Maintain accurate customer and order records.
Logistics & Supply Chain Coordination
  • Coordinate inbound and outbound shipments.
  • Monitor inventory and work closely with logistics providers.
  • Prepare shipping documentation and support import/export activities.
  • Track deliveries and proactively address potential delays.
Project Management
  • Coordinate internal projects and ensure timely execution.
  • Track project milestones, action items, and deadlines.
  • Support implementation of new operational processes and continuous improvement initiatives.
  • Collaborate with our U.S. and German teams on cross-functional projects.
Office Administration
  • Support daily office operations and administrative activities.
  • Coordinate meetings, travel arrangements, and office organization as needed.
  • Maintain company documentation and operational records.
  • Assist with vendor coordination and general business administration.
Qualifications
  • 3+ years of experience in operations, logistics, customer service, office management, project coordination, or a similar role.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Self-motivated with the ability to work independently in a home office environment.
  • Strong attention to detail and problem-solving skills.
  • Proficiency with Microsoft Office (Excel, Outlook, Word); experience with ERP systems is a plus.
  • Experience working with international companies or logistics operations is an advantage.
