Job description

We are looking for an Administrative Assistant reporting to the Directors of Direct Purchasing and Indirect Purchasing.

YOU'LL HAVE THE OPPORTUNITY TO:

  • Manage the calendars of the Directors of Direct and Indirect Purchasing, ensuring the organization and prioritization of meetings and/or conference calls, and supporting their smooth execution.

  • Support the directors in the creation and improvement of executive presentations.

  • Coordinate and organize business travel in accordance with established procedures, and prepare expense reports.

  • Contribute to the planning, coordination, execution, and support of events or meetings.

  • Provide support for various confidential projects when required.

  • Independently prepare and monitor the budget, and prepare explanations for budget variances.

  • Compile and maintain performance indicators (KPIs), survey data, and other management reports.

  • Be responsible for employee and consultant onboarding and offboarding.

  • Coordinate support and logistics for the courtesy fleet within the department.

YOU'LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:

  • College diploma (DEC) in secretarial studies or other relevant training.

  • Between five (5) and seven (7) years of relevant experience.

  • Excellent command of both French and English, spoken and written. Knowledge of any other language is an asset.

  • Good knowledge of MS Office (Word and PowerPoint), as well as the Google suite (Gmail, Calendar, Sheets, Docs, and Slides).

  • Proven experience in creating and enhancing high-level executive presentations with strong visual quality.

  • Strong decision-making skills, sound judgment, and a sense of initiative.

  • Strong organizational skills, attention to detail, and effectively prioritize tasks.

  • Interest in and ability to learn budget processes.

  • Excellent customer service skills.

This position is 3 days on site and 2 days remote.
