Job description

LHH Recruitment Solutions is seeking a detail-oriented Legal Records Specialist to join a respected law firm's Records & Governance team. This role is ideal for an organized professional who enjoys managing information, maintaining records, and supporting attorneys and staff in a fast-paced legal environment.
As a key member of the team, you will help ensure the accurate organization, retrieval, tracking, and maintenance of both physical and electronic records while supporting important governance and administrative initiatives across the firm.
Responsibilities
  • Manage, organize, retrieve, and track physical and electronic records in accordance with firm policies and procedures
  • Maintain and update records and information management databases
  • Process incoming physical records and electronic data
  • Download, save, and archive electronic records
  • Assist with the transfer of incoming and outgoing client matters
  • Scan and digitize physical files
  • Prepare external media and coordinate shipping as needed
  • Support records retention, disposition, and governance initiatives
  • Assist Records Coordinators with administrative and matter-related projects
  • Respond promptly and accurately to requests for records and information
  • Participate in department projects and daily operational activities
Qualifications
  • 3-5 years of law firm experience preferred, ideally within a Records, Information Governance, or Records Management department
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook
  • Experience with document management systems such as iManage
  • Familiarity with Electronically Stored Information (ESI)
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
  • Reliable, professional, and self-motivated
  • Positive attitude with a collaborative, team-oriented approach
  • Excellent written and verbal communication skills
  • Ability to operate standard office equipment, including scanners, copiers, and postage systems
  • Professional references required
