Overview:
The Records Associate will support daily legal records operations by managing document organization, filing, scanning, retrieval, and maintaining confidentiality and compliance standards. This role will also assist with file organization and packing activities for an upcoming office relocation while ensuring efficient records management and excellent customer service.
Job Description:

  • Manage daily legal records activities, including organizing, filing, scanning, indexing, and retrieving documents.
  • Ensure document accuracy, confidentiality, and compliance with legal records policies and procedures.
  • Assist with organizing, packing, and preparing files and records for office relocation activities.
  • Maintain and update document management systems and records databases.
  • Process, sort, and manage incoming and outgoing documents, mail, and materials.
  • Operate office equipment including printers, copiers, scanners, postage machines, and related systems.
  • Support document workflow, cost recovery processes, and records management activities.
  • Review packing slips and verify accuracy of incoming and outgoing materials.
  • Follow shipping and receiving procedures and maintain organized inventory and records.
  • Troubleshoot minor equipment and workflow issues as needed.
  • Deliver exceptional customer service and maintain professional communication with internal teams and clients.
  • Maintain strong attention to detail while handling sensitive and confidential information.
  • Work independently and prioritize tasks to meet deadlines and operational needs.
  • Follow technical instructions, operational manuals, and company procedures accurately.
  • Frequently bend, lift, move, and transport file boxes and materials up to 50 lbs.
  • Support continuous process improvement initiatives and maintain efficient workflow operations.
Qualifications:
  • High school diploma, GED, or equivalent work experience required.
  • Minimum 1 year of legal industry experience strongly preferred.
  • Prior records, document management, copy center, or administrative experience preferred.
  • Proficiency with MS Office Suite and document management systems.
  • Strong organizational, communication, and customer service skills.
  • Ability to work in a fast-paced environment while maintaining accuracy and confidentiality.
  • Basic technical and office equipment knowledge preferred.
  • Ability to work independently and adapt to changing priorities.
