JOB TITLE: Manager, Franchise Legal Coordination &Office Administration

LOCATION: Riverside, California (100 % On-Site)

REPORTS TO: Executive Leadership

DIRECT REPORTS: Guest Relations/Office Coordinator

CLASSIFICATION:Exempt

SUMMARY OF POSITION: FarmerBoys is seeking a highly structured, compliance-minded, and proactiveManager, Franchise Legal Coordination & Office Administration to anchorour corporate headquarters and lead our franchise administrative operations.Serving as a critical operational bridge between franchise owners, seniorexecutive leadership, external legal counsel, and insurance risk partners, thisrole is designed for a professional with deep legal administrative or paralegalexperience who wants to step into a corporate leadership seat.

Theideal candidate brings elite document control, rigorous deadline tracking, andprofessional poise from a sophisticated law firm or corporate legal environmentalong with experience managing general office administration duties. Leveraginga direct report, this position provides true administrative autonomy over ourmulti-state franchise compliance pipelines, corporate governance records, andcorporate office operations


ESSENTIAL DUTIES ANDRESPONSIBILITIES:

1.Legal Operations, Corporate Governance & Franchise Compliance

  • FDD & Document Integrity: Serve as the primary administrative gatekeeper for the Franchise Disclosure Document (FDD), orchestrating multi-state annual updates, registration windows, and mandatory regulatory archival processes.
  • Contract Lifecycle Management: Manage the structural generation, meticulous proofing, execution tracing, and onboarding documentation for Franchise Agreements, renewals, sales, transfers, and complex corporate assignments.
  • Corporate Information Architecture: Maintain and continuously optimize the company's master digital and physical document repositories, enforcing strict version control, record retention policies, and data security standards to support audit and compliance readiness.
  • External Advisory Liaison: Coordinate formal administrative communications and information exchanges with outside legal counsel, commercial lenders, and regulatory government agencies.
  • Financial & Fee Administration: Oversee the orderly administrative collection, tracking, and recording of franchise-related fees and underlying statutory agreements.

2.Leadership, Process Governance & Team Delegation

  • Strategic Team Leadership: Direct, mentor, and supervise the Guest Relations/Office Coordinator, providing clear performance metrics, coaching, and career growth opportunities.
  • Operational Continuity: Establish departmental priorities, design cross-training frameworks, and delegate daily tactical workflows to ensure zero-gap coverage of corporate administrative needs.
  • Culture of Professionalism: Cultivate a highly polished, collaborative, and service-oriented environmentacross the corporate administrative division.

3.Facilities Contract Administration & Corporate Logistics

  • Corporate Workspace Governance: Oversee day-to-day corporate headquarters operations, establishing policies for office access, secure parking logistics, key tracking, and physical security records.
  • Vendor Contract Management: Manage relationships, service level agreements, andadministrative budgets for corporate facility vendors, including IT supportinfrastructure, cleaning services, maintenance contractors, and officeprocurement accounts.
  • Employee Integration & Workspace Readiness: Supervise the logistical onboarding of new corporate staff, ensuring immediate workspace preparation and hardware alignment.
  • Internal Event Governance: Serve on the Annual Conference Planning Committee, managing corporate sponsorships, vendor communication streams, housing logistics, and supply infrastructure for off-site meetings and executive functions. Directs, assigns, and supervises the planning, coordination, and execution of special events for the Restaurant Support Center and Franchise Development Discovery Days.

4.Consumer Compliance & Escalated Relationship Management

  • Regulatory & BBB Correspondence: Lead the administrative review and drafting of formal corporate responses to Better Business Bureau (BBB) inquiries and related consumer regulatory correspondence.
  • Trend Analysis & Escalation: Monitor and document consumer dispute trends, acting as an elevated point of resolution for complex or sensitive brand experiences.
  • Continuous Improvement: Partner with cross-functional executive stakeholders to interpret consumer sentiment data to support customer experience improvement initiatives.

5. Ad-hoc projects/dutiesas needed


KNOWLEDGE, SKILLS, AND ABILITIES:

RequiredQualifications

  • Professional Pedigree: Minimum of 5 years of progressively responsible experience as a Legal Secretary, Legal Assistant, Practice Assistant, Corporate Paralegal, or Legal Operations Coordinator within a law firm or sophisticated in-house corporate legal department.
  • Skills & Tools: Intuitive problem-solver withthoughtful anticipation of deliverables, ability to prioritize and managecomplex issues, excellent written and oral communication skills, excellent timemanagement skills, collaborative style, team player.
  • Risk & Confidentiality Safeguards: Proven mastery of managing highly sensitive corporate, financial, and confidential legal documents with absolute discretion.
  • Technical Software Autonomy: Advanced proficiency across the Microsoft 365 suite, specifically utilizing advanced features in Word (contract formatting/redlining) and Excel (compliance tracking, reporting metrics, and asset logs).
  • Process Rigor: Elite project management, strict adherence to hard statutory/contractual deadlines, and unparalleled proofreading capabilities.

PreferredQualifications

  • Direct experience handling Franchise Disclosure Documents (FDDs) or supporting multi-unit corporate franchise ecosystems.
  • Prior supervisory or people-management experience with a demonstrated knack for delegation and professional development.
  • Experience managing corporate insurance renewal processes, certificates of insurance (COIs), and commercial contracts.
  • A proven track record managing corporate vendor logistics or large-scale project coordination.
  • Uncompromising Eye for Detail: You naturally catch cross-referencing errors, formatting inconsistencies, or missing addenda that others overlook.
  • Exceptional Judgment: You possess the executive presence and situational awareness to interface smoothly with franchise owners, C-suite executives, and external attorneys.
  • High Accountability: You take total ownership of your workflows, continuously improving broken administrative systems rather than just working within them.

WORK EXPERIENCE AND EDUCATION:

  • 3-5 years of relevantexperience in legal or corporate setting
  • Bachelor's degreeor equivalent required
