Job description

POSITION: Legal Support Coordinator

FLSA STATUS: Non-Exempt

DEPARTMENT: Office Support

SUPERVISOR: Office Administrator

Baker Donelson Bearman Caldwell & Berkowitz, PC has an opening for a Legal Support Coordinator in its Raleigh, NC office. We are seeking a detail-oriented, proactive Legal Support Coordinator to support a diverse team of attorneys in labor and employment, civil and financial litigation, and healthcare law. Must have solid familiarity with North Carolina court procedures and state rules, including filing timelines and local rules. Thrive in a fast-paced environment, excel at multitasking, and communicate clearly. Provide case management, document processing, docketing, and client communications while adapting to varied personalities and legal needs.

The ideal candidate will have at least five (5) years of experience providing administrative support in a professional law firm environment and will possess exceptional verbal and written communication skills. In addition to strong organizational abilities, the ability to work both independently and as part of a team is essential. Responsibilities of the position include, but are not limited to:

  • Maintain accurate matter files, calendars, deadlines, and court filing schedules.
  • Track, prioritize, and coordinate case tasks across multiple practice areas (labor/employment, litigation, financial litigation, healthcare law).
  • Draft, review, and format legal documents (pleadings, discovery requests/responses, motions, correspondence) under attorney supervision; draft and proofread as needed.
  • E-file with applicable courts, coordinate filing confirmations, and securely scan, index, and store documents.
  • Schedule meetings and coordinate client meeting logistics; assist with client meeting preparation.
  • Update and maintain files in a timely manner; manage attorney calendars and essential deadlines.
  • Arrange travel and handle reimbursement requests for attorneys; manage time entry and client billing processes.
  • Conduct client conflict checks and assist with new business intake; review vendor invoices and support timely payments.
  • Liaise with clients and external parties to gather information and documents; ensure compliance with deadlines and filing requirements.

Who we are looking for:

  • At least five (5) years of experience providing administrative support in a professional law firm environment.
  • A bachelor’s degree is a plus.
  • Previous law firm experience required.
  • Litigation experience required. Multiple practice areas are a plus. 
  • Largely responsible for preparing and filing documents (hard copy and electronic), as well as organizing and maintaining them.
  • Familiarity with North Carolina court procedures and state rules, including filing timelines and local rules. 
  • Demonstrates strategic thinking and initiative in handling assignments and projects.
  • Proficient in NetDocuments and CompuLaw for secure document management and precise docketing.

    This position requires 40 hours per week, Monday through Friday, from 8:00 am to 5:00 pm, with a 1-hour lunch break. This is an hourly position, and our law firm offers generous benefits and paid time off.
