Job description

Job Purpose: The Document Control Specialist is responsible for managing, organizing, maintaining, and distributing all controlled company documents in accordance with Techcrane’s Quality Management System (QMS). This position ensures all documents are current, properly stored, accurately formatted, and accessible to authorized personnel.

Essential Functions

Document Management & Control

Maintain and update controlled documents including SOPs, forms, drawings, manuals, certificates, and QHSE documentation.

Assign and track document numbers, revisions, and version control.

Validate that departments are working from the latest approved revision.

Manage distribution lists and retrieval of obsolete documents.

Prepare, format, edit, and issue controlled documents in accordance with QMS requirements.


Quality System Support

Ensure compliance with Techcrane’s QMS, ISO requirements, and internal SOPs.

Coordinate document changes with engineering, production, QC, and management.

Maintain electronic and physical document repositories.


Administrative Support

Generate reports, logs, filing systems, and document databases.

Maintain confidential files, records, and archives.

Support development of forms, templates, and operational documentation.

Assist with special projects related to QHSE, production, and compliance.


Communication & Coordination

Collaborate with engineering, production, QC, and management to ensure documentation accuracy.

Communicate document status and updates across departments.

Participate in meetings related to document updates and tracking.


Qualifications

  • High school diploma required; Associate’s degree preferred.
  • - 1–3 years of administrative, document management, or quality systems experience.
  • - Strong understanding of document control principles and revision tracking.
  • - Familiarity with QMS/ISO documentation preferred.
  • - Proficiency in Microsoft Office Suite and ability to learn internal software quickly.
