Job description

Als Internationale Import & Export Coördinator ben je de schakel tussen sales, finance, productie en logistiek en bewaak je het volledige traject van offerte tot facturatie. Je zorgt ervoor dat leveringen, transport en bijhorende administratieve en financiële processen efficiënt, tijdig en conform de geldende procedures verlopen.

Je coördineert (inter)nationale transporten en speciale projecten, beheert import- en exportdossiers (incl. douaneformaliteiten, invoerrechten en retourzendingen) en waakt over de correcte toepassing van wet- en regelgeving, Incoterms, contractuele afspraken en administratieve verwerking.

Daarnaast sta je in voor de eerstelijns opvolging van financiële transacties, kredietverzekeringen en eindfacturatie, waarbij je risico’s tijdig detecteert en proactief bijstuurt.

Je bewaakt leveringsdoelstellingen, organiseert de afstemming tussen afdelingen en zorgt voor een vlotte doorstroming van informatie. Tegelijk draag je bij aan proces- en systeemoptimalisaties in ERP (LN) met focus op datakwaliteit, automatisatie en continue verbetering.

Jouw taken
  • Transportpartners selecteren op basis van prijs, service en contractuele voorwaarden.
  • End-to-end coördineren van speciale transportprojecten: Zorgdragen voor juiste export- en importdocumenten, beheren van douanedossiers, toepassen van incoterms en exportcontrole conform interne proceduresen geldende regelgevingen minimaliseren van vertragingen en kosten.
  • Als back-up fungeren voor bepaalde transportmarkten bij afwezigheid.
  • Administratief organiseren en opvolgen van retourzendingen van machines en wisselstukken.
  • Identificeren van logistieke knelpunten en proactief bijsturen om leveringsdoelstellingen te behalen.
  • Continu verbeteren van logistieke flows en bewaken van datakwaliteit in ERP met focus op efficiëntie en on-time delivery.
  • Krediet- & Risicobeheer
    • Uitvoeren van eerstelijnsfinanciële controle : voorschotten, betalingen voor levering, kredietlimieten, betalingsvoorwaarden, bankgaranties en kredietverzekeringen.
    • Proactiefopvolgen vanfinanciëletransacties, betalingen en kredietverzekeringsdossiers - tijdigbijsturenwaar nodig.
    • Voorbereiden van eindfacturatie en controle contractuele en logistieke bewijsstukken.
    • Identificeren en mitigeren van risico’s die leveringen of betalingen kunnen vertragen of beïnvloeden.
  • Contractbeheer
    • Voorbereiden en bijsturen van contracten, offertes en tenderdocumenten.
    • Verzekeren van commerciële en leveringsafspraken (incoterms, betalingsvoorwaarden, garantiebepalingen).
    • Registreren van contractuele afspraken in ERP en wijzigingen opvolgen.
  • Bijwonen van leveringsvergaderingen; opstellen en anticiperen van duidelijke, complete leverlijsten.
  • Bewaken van het overzicht over lopende dossiers en prioriteiten, en zorgen voor een efficiënte doorstroom van informatie.
  • Fungeren als centrale schakel tussen afdelingen om een kwalitatieve en tijdige service te garanderen
Vaardigheden
  • Vlot in stakeholdermanagement, communicatief vaardig en verbindend in samenwerking met verschillende afdelingen.
  • Proactief, oplossingsgericht en resultaatgericht
  • Hands-on mentaliteit met oog voor kwaliteit en efficiëntie

Kwalificaties
  • Master in Rechten, Handelsingenieur, Toegepaste Economische Wetenschappen, Handelswetenschappen of gelijkaardige richting, of gelijkwaardig door ervaring.
  • 3-5jaar ervaring in export, logistiek, distributie, kredietbeheer, trade compliance en contractadministratie.
  • Kennis van Incoterms, basis douane & export controle.
  • Ervaring met ERP-systemen.
  • Sterke kennis van Excel en Power BI is een plus.
  • Affiniteit met digitalisering, automatisering en data-gedreven werken.
  • Vloeiend Nederlands en Engels, bijkomende talen zijn een troef.
