Job description

The Sr. Corporate Event Planner is responsible for planning, managing, and delivering exceptional in-person and virtual events at ManpowerGroup’s Global Headquarters, for both internal and external audiences. The Events Team Lead is also responsible for event coverage and scheduling, for event intake and consulting with internal and external groups, and for creating and maintaining processes and tools used across the team. Provides day-to-day direction to Events team members including Front Desk Ambassador, other Corporate Event Planner(s), and event partners (e.g., catering/food services, AV teams).


Making an Impact
•    Oversee full events schedule and take lead for specific events to plan, manage, and deliver exceptional event experience.
•    Maintain schedule and processes for front desk and event experience, ensuring a positive experience for internal and external client and community organizations.
•    Collaborate with key partners to ensure event success and to identify and execute on opportunities for continuous improvement. Key partners include HQ based catering/food services, Events AV support teams, Building services and security.
•    Develop relationships with Leadership and Executive Admins through the successful planning and execution of high-level meetings and events. 
•    As part of our in-kind giving work with 501c3s who want to host meetings at our Headquarters, consult on event setup, and support day of logistics.
•    Contribute to community partnership reviews and strategy and ensure relationship managers are informed when partners are on-site.
•    Coordinate with leadership to ensure appropriate events have a ManpowerGroup welcome that reinforces our mission and local brand.
•    Provide event costs to appropriate stakeholders and oversee payment or internal chargebacks.
•    Support specific leadership meetings with travel logistics including hotel contracts, restaurant reservations, and transportation.
•    Form partnerships and negotiate contracts with outside vendors for offsite venues, dinners, transportation, event materials, audio-visual, signage and décor (flowers, linens, etc.).
•    Lead the design and execution of specific HQ events like Bring your Kids to Work Day.
•    Act as a subject matter expert in leading the tour and event guide program.
•    In partnership with Building Services, ensure accurate data in visitor management system for events.

Sharing Expertise    
•    Mentor Events Team and provide day-to-day direction on best practices and navigating questions or challenges.
•    Identify current trends in corporate event planning and utilize or share them with the team to keep our events contemporary and memorable.

Gaining Exposure
•    Develop and maintain good working relationships across all levels, establish high standards and resolve difficulties and issues as they arise.

Your Typical Day    
•    Manage Events calendar and booking of meeting room space, coordinating with stakeholders internally and externally.
•    Provide direction to Events team.
•    Manage multiple events from initial inquiry, throughout planning process, and execution of event day of, requires some early and after work hours.
•    Partner with Sr Manager of Employee & Community Experience on weekly agendas for team meetings.
•    Manage onsite events (upwards of 150 events)
Other accountabilities as assigned

Required
•    7 years of relevant experience in corporate events or the hospitality industry
•    Proven success at producing and executing high quality meetings and events. 
•    Successful track record of managing, monitoring and forecasting budgets and deadlines.
•    Ability to work “after hours” functions and off-site events. 
•    Ability to manage day-of event requirements such as setup which may require lifting materials up to 40 lbs.
•    Proficient in Microsoft Office Applications: PowerPoint, Excel, Word, Office 
•    Proficiency in virtual event platforms such as ZOOM, Microsoft Teams, or Webex. 
•    High School Diploma 

Nice to Have
•    Project management tool experience
•    Management or Lead experience
•    Experience using the following software, or similar: 
    o    Catering Software such as: Reserve, or CaterTrax 
    o    Floor Plan Programs such as: Meeting Matrix or SmartDraw
