JOB DESCRIPTION

Summary

The Sales Coordinator supports company objectives by primarily assisting the sales team, focusing mostly on managing schedules and the distribution of sales documents; preparing and following up on sales quotations made for customers; and liaising between other departments, the sales team, and the customer to provide excellent customer service.

Functional Responsibilities

Exhibit a strong work ethic with the ability to take direction and work in a team setting and independently.

Adhere to Permian Basin Materials Code of Conduct and company policies.

Establish proactive responsive communication with customers to provide client support for quality and service issues and develop and maintain customer loyalty working in tandem with the sales team.

Receive sales calls, quotes jobs and/or direct sales calls to appropriate sales representatives, including setting-up jobs, creating quotes, and distributing quotes to customers at the direction of field sales staff.

Ensure orders are priced accurately and invoices are issued promptly.

Follow up with customers and credit department on open account requests.

Attend sales trainings and meetings and develop an understanding of the company's products.

Resolve pricing/invoicing/credit/payment/shipping discrepancies for customers when appropriate.

Determine appropriate individuals to resolve escalated customer issues/complaints.

Responsible for ensuring accurate data is gathered and input into various systems - Ready Mix and Aggregate Insight, Integra, Track It, and Haul It and other applications as needed.

Enter and monitor data input including won/loss, sales tickets, scheduling, quality control, pit inventory and production, job creation, and daily ticket maintenance. 

Generate reports, track sales forecasts, and provide sales tracking information to sales and management teams.

Respond to customer inquiries regarding product information, price and product availability and facilitate information transfer between the customer, Sales Representative(s) and/or Plant Managers and District/Division Managers, as appropriate.

Coordinate with customers, Logistics and RM Dispatch for delivery scheduling.

Assure that Scale Clerks are collecting and administering required production/sales data and act as backup in entering production data.

Research online resources for potential bids and distribute information to field sales staff for review.

Gather submittal data from quality control to provide to sales and sales management.

Order and maintain marketing materials, client gifts, and sales products.

Perform other duties as directed

EXPERIENCE/TRAINING/CERTIFICATIONS 

Lead Sales Coordinator - High School diploma and 5+ years of relevant experience in Sales Administration, Aggregate/Ready Mix industry preferred, and proven experience in providing leadership and training to the company Sales Coordinators.

Aptitude for learning and effectively utilizing Software applications required

Advanced Microsoft Excel Competency required

Valid driver's license required

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS

Candidate must be drug free.

Must be able to:

o Lift or carry no more than 20 pounds from floor to waist level occasionally

o Lift or carry less than 20 pounds frequently (documents, supplies, small office machinery)

o Sit for extended periods of time with occasional walking and standing

o Use hands and fingers to operate computers and other office machinery

o Effectively communicate in verbal and written formats with internal and external personnel, clients, and vendors
