Akerman is seeking a motivated and dynamic individual for the role of New Business Intake Analyst in the New Business Intake Department of our Conflicts Department. This is an exciting opportunity to work in a fast-paced environment which offers an exciting introduction into risk management. You will be part of a large team reviewing intake forms to ensure they meet the requirements set forth by the General Counsel's Office. The role will require your ability to work independently and under tight deadlines. This position will complete the day-to-day tasks of completing client intake requests for opening matters. The New Business Intake Analyst will process the daily workflow for new or existing firm clients and their matters into the firm systems (conflicts, records management, accounting, and other databases). This position must process requests in a time sensitive manner.
Job Duties and Responsibilities:
  • Processes client requests for matter opening, add party requests, and client name change reviews
  • Ensures accurate review of intake form to verify all required documents are attached (ex: draft engagement letter, waiver letters, a litigation budget.
  • Cross-checks the engagement letter with the intake form to be sure all parties have been run through the conflicts system
  • Verifies all fields of the intake form are complete and filled out properly with no misspellings or errors
  • Enters information into firm Conflicts Database that then filters into other department systems
  • Obtains thorough understanding of each process related to all steps in the intake process
  • Conducts data entry review as part of the matter opening process
  • Creates intake forms as part of the name change process for existing clients and the conflict related searches
  • Reviews and follows up when necessary on all outstanding requests in the intake queue
  • Verifies all required approvals have been received on the new business intake form before opening the matter
  • Ensures all new business intake forms are processed accurately and efficiently
  • Oversees the onboarding process, client transfers, and matter openings for lateral attorneys
  • Responds to calls and emails from attorneys and legal administrative assistants regarding the status of the new business intake forms
  • Performs other duties as assigned

Qualifications (Education, Experience, and Certifications):
  • High School diploma or GED required with 2 to 3 years of related work experience preferred
  • Associate or bachelor degree preferred
  • Law firm experience a plus (Conflicts and/or Records Management. Experience interacting with law firm employees)
  • Ability to work well under pressure
  • Ability to type 45 WPM
  • Proficient computer skills including Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Experience using office equipment (fax machine, phone, copier)
  • Ability to work outside of regular business hours
  • Excellent oral and written communication skills
  • Ability to work independently or with a team
  • Willing to take on new tasks and responsibilities in the department
