Your Role
  • We are seeking a full-time Office Assistant and Receptionist to join our team at our corporate headquarters in Arlington, VA. In this highly visible role, you will be the first point of contact for visitors, clients, and employees while helping ensure our office operates efficiently each day. You'll provide exceptional customer service, support company operations, assist with office administration, coordinate meetings and events, and contribute to creating a welcoming and collaborative workplace.
  • The ideal candidate is dependable, organized, proactive, and enjoys working with people. This position requires working onsite Monday through Friday from 8:30 AM to 4:30 PM.
Your Responsibilities
  • Creating a welcoming first impression by greeting visitors, clients, and employees in a friendly and professional manner
  • Managing the front desk by answering and directing incoming phone calls and responding to general inquiries
  • Coordinating conference room schedules by preparing meeting spaces and ensuring rooms are ready for guests
  • Receiving and distributing mail and packages by coordinating incoming and outgoing shipments
  • Maintaining office operations by stocking supplies, organizing common areas, and ensuring the office remains clean and welcoming
  • Supporting new hires by preparing workspaces and coordinating office onboarding logistics
  • Assisting with company meetings and employee events by coordinating logistics, setup, and administrative support
  • Preparing and distributing internal communications, correspondence, and other office documents
  • Providing administrative support by assisting departments and senior leadership with day-to-day office needs
  • Coordinating with vendors and building management by submitting service requests and following up on office maintenance
  • Processing office purchases and invoices by supporting routine administrative and operational activities
  • Improving the employee and visitor experience by identifying opportunities to enhance office processes and workplace operations
  • Supporting the team by performing other administrative and office duties as assigned
Required Experience, Skills, and Qualifications
  • Experience with artificial intelligence (AI) tools to optimize workflows, problem-solving, and productivity.
  • High school diploma or equivalent required
  • At least one year of experience working as an Office Assistant, Receptionist, or in a similar administrative support role required
  • Friendly, professional, and customer-focused demeanor
  • Excellent verbal and written communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Dependable, punctual, and able to work independently
