Job Title: National Account Sales Coordinator

Department: Sales & Business Development

Reports To: Chief Executive Officer

Supports: CEO ยท 2 Vice Presidents of Business Development ยท Sales Team

Location: Boca Raton, FL

FLSA Status: Exempt

Company Summary

BlueTeam is a US-based provider of national disaster recovery, remediation, reconstruction, renovation, and roofing services for commercial properties. Our core business focuses on cleanup and mitigation efforts for recovery from fire damage, roof leaks, flooding, pipe bursts, and post-disaster remediation due to severe weather. We exclusively serve commercial sectors including hospitality, senior housing, healthcare, commercial offices, municipalities, multifamily living, and institutional markets.

SUMMARY

The National Account Sales Coordinator is a high-impact inside sales and operational support role that works directly with the CEO and two Vice Presidents of Business Development. This position is the connective tissue of BlueTeam's national account strategy โ€” driving accountability, expanding organizational intelligence on key accounts, and ensuring that our most important client relationships receive consistent, top-down executive engagement. The ideal candidate thinks like a strategist and executes like an operator. They understand how large commercial organizations are structured, know how to navigate from the C-suite down to the regional and local property level, and use that knowledge to build relationship density within each account. This role requires someone who is proactive, organized, commercially minded, and comfortable holding senior sales leaders accountable on behalf of the CEO.

ESSENTIAL DUTIES AND RESPONSIBILITIES Executive & VP Support
  • Work directly with the CEO to manage priorities, schedules, and strategic follow-through across the national accounts portfolio.
  • Provide dedicated support to two assigned Vice Presidents of Business Development, serving as the operational backbone for their territory and account activity.
  • Schedule, coordinate, and calendar all VP meetings, client calls, travel, and events โ€” ensuring nothing falls through.
  • Assist the CEO in monitoring VP activity, pipeline progress, and client engagement frequency โ€” surfacing gaps and driving accountability.
  • Prepare briefing materials, call prep packages, and client summaries ahead of key meetings so VPs walk in informed.
Account Intelligence & Strategic Targeting
  • Develop and maintain deep organizational maps for each assigned national account โ€” understanding who the key decision makers are at the corporate, regional, and property level.
  • Identify P1 and P2 contacts (Regional/VP Facilities, Risk & Insurance leaders) within existing client organizations that are not yet engaged and build plans to close those gaps.
  • Track contact changes, promotions, and departures within client organizations using LinkedIn and CRM data โ€” keeping the account map current.
  • Assign contact priorities and establish outreach frequencies for each key decision maker โ€” ensuring the right people hear from BlueTeam at the right cadence.
  • Expand BlueTeam's presence within existing accounts from a single point of contact to full organizational coverage across regional and national leadership.
Relationship Engagement & Client Events
  • Coordinate and manage the full calendar of client engagement activities โ€” dinners, facility tours, sporting events, golf outings, and executive meetings.
  • Work with the CEO to keep VPs consistently present in front of key decision makers through structured meeting and event scheduling.
  • Research and identify relevant industry trade shows, conferences, and association events where target clients will be present, and coordinate BlueTeam participation and preparation.
  • Attend select trade shows and client events as BlueTeam's inside representative โ€” engaging clients professionally and supporting relationship development on the ground.
  • Manage all logistics for client-facing events including invitations, confirmations, materials, and follow-up.
  • Serve as BlueTeam's inside sales contact for assigned national accounts โ€” maintaining consistent touchpoints, following up on proposals, and nurturing relationships between VP visits.
  • Communicate both up (regional/national decision makers) and down (local property and facility managers) within client organizations, ensuring BlueTeam has full vertical coverage of each account.
  • Distribute marketing collateral, capability presentations, and relevant content to clients on a structured cadence aligned to their vertical and portfolio profile.
  • Respond promptly and professionally to client inquiries, routing to the appropriate VP or operations team as needed.
  • Identify expansion opportunities within existing accounts and flag them to the assigned VP and CEO.
VP Accountability & Performance Reporting
  • Track each VP's pipeline activity, meeting counts, client engagement frequency, and progress against targets โ€” reporting directly to the CEO.
  • Maintain accurate, current records in Pipedrive CRM for all assigned accounts โ€” contacts, activity logs, deal stages, and next steps โ€” and ensure VP entries are complete and timely.
  • Generate weekly and monthly activity reports for the CEO summarizing VP performance, account coverage, gaps, and upcoming client touchpoints.
  • Flag when VP engagement with key accounts has lapsed, when decision maker contacts are missing, or when outreach cadences are falling behind.
  • Support the CEO in preparing for internal sales reviews by compiling VP territory summaries, pipeline status, and account health metrics.
Client Onboarding & Operations Support
  • Manage the onboarding of new client accounts โ€” including property and portfolio setup, user credentials, SOP configuration, and job creation in the BlueTeam platform.
  • Prepare and send Master Service Agreements and contracts for e-signature via DocuSign.
  • Coordinate with internal operations teams to ensure client requirements are clearly communicated and properly executed.
  • Maintain organized, current files for all assigned accounts including contracts, onboarding records, and engagement history.
WHAT THIS ROLE IS NOT

This is not a traditional administrative coordinator role. The National Account Sales Coordinator operates as a strategic support partner to senior sales leadership. The right person understands how large, multi-site commercial organizations work, can identify the right people to target within them, and takes ownership of making sure BlueTeam's VP relationships are active, organized, and productive.

This role requires commercial curiosity, a top-down mindset, and the confidence to hold senior leaders accountable. The coordinator must be equally comfortable researching a VP of Facilities at a national senior living company and managing the logistics of a client dinner that same week.

QUALIFICATIONS
  • Bachelor's degree in business, marketing, communications, or a related field preferred.
  • 2โ€“4 years of experience in sales support, account management, or business development coordination โ€” ideally supporting senior sales leaders.
  • Experience in commercial real estate, property management, hospitality, healthcare, or emergency services industries a significant plus.
  • Prior experience working directly with a C-suite executive or supporting multiple VP-level leaders simultaneously
SKILLS & COMPENTICES
  • Exceptional organizational skills โ€” able to manage multiple VPs, accounts, and deadlines simultaneously without losing detail.
  • Strong commercial instincts โ€” understands how to identify decision makers within large organizations and build a relationship strategy around them.
  • Proactive communicator โ€” follows up without being asked, flags issues before they become problems, and keeps the CEO informed.
  • CRM proficiency required โ€” Pipedrive experience strongly preferred; committed to maintaining clean, complete data.
  • Proficiency in Microsoft Office (especially Excel and PowerPoint), Monday.com, DocuSign, and LinkedIn.
  • Professional presence and polished written communication โ€” this is a client-facing role.
  • Comfortable in a fast-moving, entrepreneurial environment with high expectations and changing priorities.
