The O&P USA business includes the product lines Ethylene, Propylene, Butadiene, Polypropylene and High Density Polyethylene. Manufacturing sites include Chocolate Bayou Works (Alvin, TX), Battleground Manufacturing Complex (La Porte, TX), and Carson, (Carson, CA), with a division office in League City, TX.

The Payroll/HR Administrative Assistant will work as a key member of the O&P USA Human Resources Team at the League City, TX office. The Payroll/HR Administrative Assistant reports to the Human Resources Manager.

The ideal candidate must have a background in payroll processing, Human Resources administration, strong willingness to learn, a great attitude, be a team player, and have the ability to multi-task and work independently. A great degree of personal initiative, strong interpersonal skills and the ability to prioritize is required. The successful candidate will be the single-point-of-contact regarding all payroll-related issues for the client group as well as other duties and activities that may be assigned. Attention to detail coupled with strong analytical skills is essential in this role.

The Payroll/HR Admin processes payroll for a client group of approximately 250 people across 2 entities, multiple states, and 3 pay groups and acts as payroll back up for an additional entity. This role coordinates enterprise-wide payroll events such as bonus payments, processing schedule, payroll funding, regulatory reporting, and interfaces often with all levels of the organization.

Responsibilities and Accountabilities

Payroll Administration

  • Developing a deep understanding of Workday payroll system

  • Training line staff in administering payroll procedures, policies, and practices

  • Managing basic payroll information

  • Maintaining tax information and Electronic Funds Transfer updates

  • Adding, editing payroll data, transactions, deductions for new hires, existing employees

  • Certify accuracy of all timecard and payroll related transactions

  • Entering hours, earnings, deductions, and auditing all payroll and benefits related transactions

  • Processing pay advices and checks

  • Complete funding and process GL reporting

  • Auditing the pre-processed payroll & processing payroll corrections

  • Completing all year end payroll related items

  • Support and resolve payroll issues

  • Assist with administrative duties related to scheduling and time sheet system for hourly employees

Benefits Administration

  • Benefits administration (information additions, changes, or deletions), invoicing and retroactive payments

  • Answering employee questions and issue resolution

  • Processing and tracking benefits invoices to systems for payment

  • Tracking and coordinating California state leave benefits for eligible employees

  • Assist with FMLA notification and tracking

General Human Resources Administration

  • Data entry to Workday: New Hire data, job and compensation changes

  • Filing and maintaining personnel, benefit and confidential files

  • Maintain and update HR SharePoint site as needed

  • Process invoices for the HR team through SAP

  • Oversee Fitness Center memberships and usage, including recording imputed income and membership fees through payroll

  • Oversee Service Award processing and ordering for all of O&P USA

  • VTA (LMS system) administrator backup

  • Issuing approved communications

  • Special projects and other responsibilities as requested

Analytics and Reporting

  • Prepare required regulatory reports (EEO-1, California Pay Data)

  • Shadow Payroll tracking and maintenance

  • Prepare manhours & absentee/occurrence reports

  • Create Ad-hoc reports from various sources as needed

Skills & Knowledge Required

Education/Experience
  • High School Diploma or equivalent required

  • Experience with Workday or other HR Information Systems (HRIS) required

  • Experience processing Payroll required; experience with Ex-Pat and California payroll strongly preferred

  • Experience in an HR support role preferred

  • Experience in a manufacturing environment preferred

Skills/Competencies
  • Strong organizational and communication skills

  • Proficiency in MS Office products - Word, Power Point, Excel, Access, Outlook

  • Ability to maintain strict confidentiality

  • Ability to work with minimal direction

  • Must be flexible and willing to handle a wide variety of responsibilities and take the initiative to manage tasks independently
