HR Operations Coordinator

The HR Operations Coordinator is responsible for providing high-quality operational and administrative support. This role will manage key HR processes including invoice processing, data validation, employment verifications, benefits administration support, union coordination, and employee service desk activities. The HR Operations Coordinator will also help maintain and improve HR workflows, systems, and processes to ensure accurate, timely, and efficient service to employees and HR stakeholders.

The ideal candidate is highly organized, detail-oriented, service-oriented, and comfortable working with confidential employee information in a fast-paced environment.

HR Operations & Administration
  • Process, review, reconcile, and track HR-related invoices, ensuring accuracy, appropriate approvals, and timely processing.
  • Perform regular HR data validation and quality checks to ensure employee information is accurate and up to date.
  • Maintain accurate HR records, documentation, reports, and operational files.
  • Complete employment verifications in accordance with established policies and procedures.
  • Support day-to-day HR operational activities and ensure requests are completed accurately and within established service levels.
  • Assist with HR projects, audits, reporting, and other administrative initiatives as needed.
Employee Service Desk
  • Provide responsive and professional support through the HR employee service desk.
  • Respond to employee questions and requests related to HR policies, benefits, employee records, and general HR processes.
  • Research and resolve employee inquiries or escalate issues to the appropriate HR team or subject-matter expert.
  • Help identify recurring employee questions or process issues and recommend improvements.
Benefits Support
  • Assist with day-to-day benefits administration, including employee eligibility, enrollment, life events, and employee inquiries.
  • Coordinate with benefits vendors and internal HR partners to resolve issues and maintain accurate employee information.
  • Support benefits-related audits, reconciliations, reporting, and communications.
  • Maintain appropriate documentation and ensure benefits-related information is processed accurately and confidentially.
Union & Employee Relations Support
  • Serve as an administrative liaison between HR and union representatives.
  • Coordinate information requests, documentation, meetings, and follow-up activities involving unions.
  • Maintain accurate records related to union employees and applicable processes.
  • Support HR leadership with administrative activities related to collective bargaining agreements and union-related requirements.
  • Ensure requests and communications are handled professionally, consistently, and within required timelines.
HR Systems & Workflow Optimization
  • Utilize Dayforce and other HR systems to maintain and validate employee information and support HR processes.
  • Assist with HR workflow management and identify opportunities to improve efficiency, accuracy, and employee experience.
  • Help document processes, develop standard operating procedures, and implement process improvements.
  • Partner with HR team members and cross-functional stakeholders to troubleshoot system and workflow issues.
  • Support data reporting and analysis using HR systems and Microsoft Office tools.
Required Qualifications
    • 5+ years of experience in HR operations, HR administration, HR shared services, benefits, or a related Human Resources function.
    • Bachelor's degree in Human Resources, Business Administration, or a related field preferred/required.
    • Experience working with Dayforce or a comparable HRIS; Dayforce experience strongly preferred.
    • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
    • Strong attention to detail and demonstrated ability to validate and maintain accurate data.
    • Experience handling confidential and sensitive employee information.
    • Strong organizational skills with the ability to manage multiple priorities and deadlines.
    • Excellent written and verbal communication skills.
    • Strong customer-service orientation and ability to work effectively with employees at all levels.
    • Ability to collaborate with HR partners, vendors, union representatives, and cross-functional stakeholders.
    • Strong problem-solving skills and the ability to research issues and determine appropriate solutions.
Preferred Qualifications
    • Experience supporting employees in a unionized environment.
    • Experience with HR shared services or an employee service center/service desk.
    • Experience supporting benefits administration.
    • Experience processing invoices, vendor payments, or HR-related financial transactions.
    • Experience with HR data audits, reporting, and reconciliation.
    • Experience documenting and improving HR workflows and processes.
