Summary:
The HR Operations Specialist is responsible for the accurate and timely entry of employee data into HR systems, supporting the HR Operations team in maintaining data integrity and compliance. This role works closely with HR Operations leadership and other HR functions to ensure employee records are complete, up-to-date, and aligned with organizational policies.
The ideal candidate will have experience in HR Operations, HRIS data management, and employment lifecycle processing. Candidates should have experience entering and maintaining employee data in HR systems, processing hires, transfers, promotions, and other personnel actions, managing work authorization documentation, and ensuring data accuracy and compliance. Experience with iNFOR (Infor Talent Management), ServiceNow, and high-volume transactional HR support is strongly preferred. This position is a hybrid position and requires onsite presence once a week.
Responsibilities:
Data Entry & Management: Enter employee data for new hires, transfers, promotions, and other lifecycle events into HR systems. Maintain accuracy and completeness of employee records. Update and correct data as needed to ensure alignment with HR, Payroll, and Benefits requirements.
License Verification: Verify the validity of licenses and certifications, coordinating with relevant licensing bodies as needed. Conduct periodic audits to ensure all credentials are current and compliant.
Quality Assurance: Review entered data for accuracy and completeness. Identify and resolve discrepancies in employee records. Assist with regular audits of HR data to support compliance and reporting.
Initial Point of Contact: Serve as the primary contact for candidates regarding data entry updates. Provide clear, timely communication to ensure a positive experience.
ServiceNow Case Management: Respond to related inquiries via ServiceNow or other case management systems. Respond to license and certifications related inquiries via ServiceNow or other case management systems. Research and resolve operational cases promptly to support teammates and leaders.
Collaboration and Communication: Communicate with HR team members to clarify data requirements and resolve issues. Provide support to HR Operations Supervisor and other HR staff as needed. Escalate discrepancies or compliance concerns appropriate stakeholders for resolution. Share best practices and provide feedback to improve team effectiveness.
Data Management and Reporting: Assist in generating reports on employee data for HR Operations leadership and other stakeholders.
Suspension Management: Implement suspension of duties for teammates out of compliance and remove suspensions when licenses are updated and compliance is restored.
Exceptional Teammate Experience: Deliver professional, reliable, and customer-focused support throughout the interaction. Address inquiries promptly and effectively, demonstrating active listening and empathy.
Process Improvement Evaluation: Identify areas for improvement within HR Operations workflows. Collaborate with peers and management to implement changes that enhance efficiency and experience.
Project Management: Actively participates in projects designed to increase efficiency and promote teammate experience.
Training Material Development: Develop and maintain Standard Operating Procedures (SOPs) for processes. Create training modules and reference materials for HR team members.
