JOB SUMMARY
Currently have two HR Operations Supervisor positions.
HR Operations Supervisor (Employee Onboarding), you will lead and oversee staff across multiple HR operations functions, including New Employee Onboarding, I-9 and employment eligibility verification, background check administration, the HR Services Center, and other related responsibilities. You will oversee the HR Services Center, ensuring exceptional, high-touch customer service is delivered in a fast-paced, high-volume environment You will ensure a seamless onboarding experience by managing pre-hire and post-hire processes such as offer acceptance, initiation and tracking of background screenings, completion and verification of I-9 documentation in compliance with federal regulations, and timely system access and orientation coordination. This is a hybrid work schedule that is currently three days every week in office and as needed.
HR Operations Supervisor (Tier 1 Support Team), you will lead the HR Specialist team who are responsible for handling a large volume of inbound phone calls, requests and chat inquiries ensuring prompt, accurate, and empathetic support are provided. The HR Specialist team ensures a consistent, positive candidate and employee experience that reflects the UTSW culture throughout all stages of the employee lifecycle. Through close collaboration with applicants, employees, central HR, and cross-functional partners, the specialist team assesses inquiries, resolves issues efficiently, and escalates complex matters, as needed. This is a hybrid work schedule that is currently one day every week in office and as needed.

EXPERIENCE AND EDUCATION
Required
  • Education
    Bachelor's Degree in Human Resource management, Business Administration, or related field
  • Experience
    4 years of professional experience in one or more areas of human resource management.
    May consider additional years related experience in lieu of education requirement.
JOB DUTIES
  • Provides accurate and efficient resolutions to complex and/or escalated issues and inquiries through multiple channels by following appropriate resolution/assessment - methodology (investigating and research), utilizing knowledge management tools, educating employees on self-service tools, and determining appropriate course of action or escalation for emerging issues.
  • Provides leadership to HR Services team to ensure delivery of high-level customer service and ability to answer all Tier 1 level inquiries in all areas of Human Resources: Employee Relations, Payroll, Compensation, Benefits, Talent Acquisition, Leave Administration, and all HR related programs, policies, and procedures.
  • Partners with other HR functions on tier 0 (self-service) and tier 1 document management.
  • Support business process upgrades, enhancements, testing and data validation in HR systems.
  • Supervises the workflow of the HR Service Center team to ensure optimal efficiency while maintaining high standards of service.
  • Coaches and trains the team to ensure the highest level of compliance and manages individual performance.
  • Interprets various policies and procedures to determine necessary resolution of various PeopleSoft HCM issues.
  • Serves as the subject matter expert and key participant on a wide variety of HR projects for HR Service Center processes.
  • Gathers and estimates resources required for project and planning purposes.
  • Support data quality audits and initiate additional data quality audits to mitigate errors/issues.
  • Responsible for analyzing and ensuring that complex payroll/personnel transaction issues are addressed and resolved.
  • Researches, troubleshoots, and resolves issues to ensure data integrity in PeopleSoft HCM.
  • Verifies and ensures Records files are prepared and complete for regulatory review/audits.
  • Provides technical support and required PS HCM training to university managers as well as co-workers.
  • Manages and coordinates data compliance, data protection for HR systems to Records Management, State Comptroller, and State Auditor.
  • Reviews, recommends, and implements processes and procedures to improve service.
  • Researches and gathers information and documentation for requests for subpoenas and Texas Open Records Act.
  • Works with technical resources to manage exception processes minimizing impact on related processes.
  • Researches and resolves department's issues pertaining to Time & Labor and Leave and Absence requests.
  • Develops and creates high-level metrics/performance reports to management.
  • Provides vision, leadership, planning, project coordination and management for the development of a cost-effective department while concurrently facilitating efficient operations to meet current and future business needs within the organization.
  • Drives onboarding efforts from time of offer acceptance, through the pre-onboarding process to orientation.
  • Performs other related duties as assigned.
