SUMMARY
Position Summary
The Human Resource Operations Specialist supports the Human Resources function through accurate payroll processing, funding and reconciliation, HR data management, compliance auditing, reporting, and escalated service resolution. This role is responsible for processing and reconciling complex payrolls, supporting wage and hour compliance, managing garnishments, tax levy and payroll tax notice requirements, maintaining HR data integrity, and producing accurate reporting across talent acquisition, HR data architecture, and benefits.
This position requires advanced technology proficiency, strong analytical capability, exceptional attention to detail, and the ability to handle highly sensitive and confidential information. The Human Resource Operations Specialist is accountable for providing exemplary service, timely responses, and accurate resolution of escalated Tier 2 (require in-depth technical troubleshooting) and Tier 3 (require the highest level of in-house expertise) inquiries.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties and Responsibilities will be listed in order of impact and importance.
  1. Process, reconcile and fund complex payrolls accurately and timely, ensuring compliance with applicable federal, multi -state, local, and international wage and hour requirements.
  2. Audit payroll data, wage payments, deductions, adjustments, and related records to identify discrepancies and ensure timely resolution.
  3. Manage and audit wage and hour compliance activities, including review of federal and state requirements, payroll practices, timekeeping data, and related reporting.
  4. Manage garnishments, tax levy, payroll tax notice compliance, including processing, tracking, auditing, and ensuring timely and accurate administration in accordance with applicable legal requirements.
  5. Support, manage, and oversee compliance with HR data cleansing, data integrity, and HR data architecture standards.
  6. Prepare, analyze, and distribute HR data reporting related to talent acquisition, HR data architecture, benefits, payroll, and other Human Resources operational areas.
  7. Create, maintain, and update organizational positions and workforce structures to ensure alignment across HR, payroll, benefits, and talent systems.
  8. Identify key trends across payroll, HRIS, benefits, and recruiting data to highlight potential needs for process change.
  9. Fund and reconcile benefit contributions and vendor payments, as assigned, ensuring accuracy, timeliness, and alignment with payroll and benefits records.
  10. Respond to escalated Tier 2 and Tier 3 HR operations tickets, ensuring timely, accurate, and service-oriented resolution.
  11. Identify root causes of recurring HR operations, payroll, benefits, or data issues and recommend process improvements.
  12. Maintain accurate documentation of processes, reconciliations, audits, ticket resolutions, and compliance activities.
  13. Partner with HR, Payroll, Benefits, Finance, Accounting, Talent Acquisition, IT and HR Systems stakeholders to resolve issues and support operational excellence.
  14. Maintain strict confidentiality of employee, payroll, benefits, tax, and other sensitive HR data.
  15. Support HR systems testing, data validation, reporting enhancements, and process improvement initiatives as needed.
  16. Perform other duties as assigned.

SUPERVISORY RESPONSIBILITIES
This position has no direct supervisory responsibilities.
SKILLS AND QUALIFICATIONS
  • Bachelor's degree required; degree in Accounting, Finance, Human Resources, Business Administration, Analytics, or a related field preferred.
  • 0-2 years of related experience in human resources operations, payroll, HR systems, benefits administration, finance, accounting, data analytics, or a related function.
  • Advanced technology proficiency, including strong ability to work with HRIS, payroll systems, reporting tools, spreadsheets, and data platforms.
  • Strong analytical skills with the ability to review complex data, identify discrepancies, reconcile records, and produce accurate reports.
  • High attention to detail and commitment to accuracy.
  • Ability to handle highly sensitive and confidential information with discretion and professionalism.
  • Working knowledge of payroll, wage and hour, garnishments, tax levy, payroll tax notices, benefits, and HR data practices preferred.
  • Strong organizational and time management skills with the ability to manage competing priorities and deadlines.
  • Demonstrated accountability for exemplary service, timely responses, and issue resolution.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively within a Human Resources function.
  • Strong problem-solving skills and ability to escalate issues appropriately.

PHYSICAL DEMANDS
Primarily sedentary office work. Regularly uses a computer, keyboard, mouse, and phone. Must be able to communicate, read, analyze data, and remain stationary for extended periods.
WORK ENVIRONMENT
This position works within the Human Resources function in a professional office environment. The role routinely uses standard office equipment and HR, payroll, benefits, reporting, and data systems.
CERTIFICATES, LICENSES, REGISTRATIONS
No certificates, licenses, or registrations are required. Payroll, HRIS, benefits, data analytics, accounting, finance, or Human Resources certifications are preferred but not required.
