HR Operations Specialist

Location: New York, NY 10014

*Hybrid option once fully trained (3 days onsite / 2 days remote)*
Schedule: Monday - Friday, 9:00 AM - 5:00 PM
Contract Duration: 1 Year
Pay Rate: $25.00 - $35.00 per hour (based on experience)
Position Overview

We are seeking a detail-oriented HR Operations Specialist to join a university Human Resources team on a one-year contract. This hybrid position provides essential operational support by processing routine HR transactions, managing employee and campus HR inquiries, maintaining HR documentation, and supporting operational workflows. The ideal candidate is organized, customer-focused, and experienced in HR operations within higher education or a shared services environment.
This role is best suited for someone who thrives in a fast-paced environment, enjoys process improvement, and is committed to delivering accurate, timely, and high-quality HR support.

Key Responsibilities

Case & Intake Management

  • Manage shared inboxes and action/ticket queues; triage, route, and resolve standard cases within defined SLAs.
  • Provide first-level response to routine HR questions (HEO, ECP, and Classified) from campus HR teams.
  • Job Posting Audit Support: Review active job postings to identify compliance or quality issues; coordinate revisions with campus partners or escalate systemic concerns to leadership. Track trends to inform analysis and targeted campus training needs.
  • Background Verification Support: Respond to basic inquiries related to background verification processes, in alignment with established protocols.
  • Content & Site Maintenance: Maintain and update designated SharePoint sites to ensure accuracy, version control, and accessibility of HR operational materials.

SOPs & Documentation

  • Maintain operational SOPs, templates, and quick reference guides; coordinate updates as processes evolve approaching cutover.

Peak Period Support

  • Provide additional operational coverage during UAT, cutover, while SMEs focus on project tasks.

Minimum Qualifications

  • 4-6 years in HR higher ed operations, shared services, or higher education administration
  • Proficiency with HRIS or enterprise systems; strong Excel/Google Sheets skills.
  • Proven accuracy and attention to detail; ability to follow established procedures.
  • Customer service orientation; clear written and verbal communication.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred Qualifications

  • Workday experience (reports, business processes, training support)
  • Standard schedule with occasional peak period overtime (UAT, cutover).
