You'll be the operational backbone of the People and Culture Development department - keeping employee records airtight, managing compliance across DOH and HIPAA standards, and ensuring the day-to-day HR function runs without a hitch. Key Responsibilities
Administrative & Coordination
  • Serve as the primary point of contact for internal and external communications including calls, emails, and correspondence
  • Coordinate meetings, appointments, and events to ensure optimal use of time and resources
  • Prepare reports, presentations, and agendas; maintain accurate records of meetings, decisions, and follow-up actions
  • Coordinate orientation and onboarding sessions for new employees
Records & Data Management
  • Organize and maintain employee documents and files in both physical and electronic formats
  • Input and update data into databases, spreadsheets, and HRIS platforms with high accuracy
  • Maintain confidentiality of sensitive employee data with the utmost professionalism and integrity
Compliance & Auditing
  • Audit and maintain personnel files to ensure compliance with federal, state, and company-specific requirements
  • Conduct routine internal audits in alignment with DOH, HIPAA, and internal HR regulations
  • Track and manage timely renewals of professional licenses, credentials, and mandatory staff trainings
  • Monitor compliance progress and report findings to the Manager of People and Culture Development
  • Support preparation for external audits and regulatory inspections
  • Collaborate cross-functionally to ensure HR practices remain aligned with operational and compliance goals
Qualifications
  • Associate's degree in Human Resources, Business Administration, Healthcare Administration, or related field (Bachelor's preferred)
  • Minimum 2 years of HR experience, preferably in a healthcare or regulated industry
  • Strong working knowledge of HR compliance including HIPAA, DOH, and relevant federal/state regulations
  • Experience with HRIS platforms and digital document management systems
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Superior attention to detail with proven ability to manage multiple priorities and deadlines
  • Discretion, integrity, and a collaborative, team-focused mindset
