Job description

The HR Assistant supports the Human Resources team by coordinating and facilitating all aspects of the new hire onboarding process. This role ensures that new employees have a smooth transition into the organization by managing pre-employment documentation, system setup, compliance requirements, and first-day readiness. The HR Assistant serves as a point of contact for new hires and collaborates closely with managers and other HR staff to provide a positive onboarding experience.
  • Coordinate and track the onboarding process for all new hires from offer acceptance through the first day of employment.
  • Prepare and assigns new hire electronic paperwork and ensure timely completion of all required forms (I-9, tax forms, direct deposit, confidentiality agreements, etc.).
  • Enter new hire data accurately into HRIS, payroll, and related systems (e.g., Net Health, iCIMS, UKG, or other platforms).
  • Assign and monitor completion of onboarding checklists, training modules, and compliance requirements.
  • Verify and maintain personnel files to ensure all required documents are complete and compliant.
  • Communicate with hiring managers to confirm onboarding details, first-day logistics, and orientation schedules.
  • Provide timely responses to new hire questions regarding benefits enrollment, policies, and general HR inquiries.
  • Track onboarding metrics and provide reporting to HR leadership as needed.
  • Assist with continuous improvement of onboarding processes to enhance efficiency and employee experience.
  • Support additional HR administrative functions as needed.

Position requirements:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 1-2 years of HR or administrative experience, preferably with onboarding responsibilities.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Proficiency with HRIS systems and Microsoft Office Suite; experience with applicant tracking systems preferred.
  • Ability to handle confidential information with discretion.

Pay Range
USD $18.00 - USD $20.00 /Hr.
