Job description


The Human Resources Administrator serves as the central HR resource for a rapidly growing family of affiliated companies operating across multiple states. This position is responsible for administering and coordinating all aspects of employee lifecycle management, including onboarding, benefits administration, compliance, payroll support, policy implementation, employee records management, training coordination, and HR communications.

Supporting more than 100 employees across 40+ companies and seven states, the HR Administrator ensures compliance with federal, state, and local employment regulations while delivering exceptional service to employees and management teams. This role is critical to maintaining a positive employee experience, supporting organizational growth, and creating consistency across all affiliated entities.

Essential Duties and Responsibilities

Employee Onboarding & Offboarding

  • Coordinate all new hire onboarding activities, including offer letters, employment documentation, background screenings, drug testing, I-9 verification, and system setup.
  • Facilitate employee orientation and introduction to company policies and procedures.
  • Manage employee separations, terminations, resignations, exit interviews, and offboarding processes.
  • Ensure accurate maintenance of employee personnel files and records.

HR Administration

  • Maintain employee records and HRIS systems with accuracy and confidentiality.
  • Process employee status changes including promotions, transfers, compensation changes, and leave requests.
  • Manage employment verification requests and personnel documentation.
  • Maintain organizational charts, employee directories, and reporting structures.

Benefits Administration

  • Serve as the primary point of contact for employee benefit programs.
  • Coordinate benefit enrollments, qualifying life events, open enrollment, and employee education.
  • Liaise with insurance brokers, carriers, retirement plan providers, and benefit vendors.
  • Assist employees with benefit-related questions and issue resolution.

Multi-State Compliance

  • Maintain compliance with federal, state, and local employment laws across multiple jurisdictions.
  • Monitor changes in labor laws and employment regulations affecting company operations.
  • Assist with policy updates and employee handbook maintenance.
  • Support audits related to employment, payroll, workers' compensation, and benefits.

Payroll & Timekeeping Support

  • Coordinate payroll data submissions with accounting and payroll providers.
  • Review employee timekeeping records for completeness and accuracy.
  • Assist with PTO tracking, leave administration, and attendance monitoring.
  • Ensure payroll-related employee changes are communicated accurately and timely.

Employee Relations

  • Provide professional and confidential support for employee questions and concerns.
  • Assist managers with employee relations matters, performance discussions, and documentation.
  • Promote positive employee engagement and workplace culture initiatives.
  • Support conflict resolution and policy interpretation efforts.

Training & Development

  • Coordinate mandatory compliance training programs.
  • Track training completion and maintain training records.
  • Assist with employee development initiatives and performance review processes.
  • Schedule and organize company-wide training events and meetings.

Recruiting Support

  • Post job openings and coordinate applicant tracking.
  • Schedule interviews and communicate with candidates.
  • Assist hiring managers throughout the recruitment process.
  • Support workforce planning and staffing initiatives.

Reporting & Analytics

  • Prepare HR reports regarding headcount, turnover, recruiting, benefits participation, and compliance metrics.
  • Track workforce trends and identify opportunities for process improvement.
  • Assist leadership with workforce planning and organizational growth initiatives.

Qualifications

Education & Experience

  • Associate's Degree required; Bachelor's Degree in Human Resources, Business Administration, or related field preferred.
  • Minimum 3-5 years of progressive Human Resources experience.
  • Experience supporting multi-location or multi-state organizations preferred.
  • SHRM-CP, PHR, or similar HR certification preferred.

Knowledge & Skills

  • Strong understanding of employment law, HR best practices, and compliance requirements.
  • Experience with HRIS, payroll, and benefits administration systems.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to maintain strict confidentiality and professionalism.
  • Exceptional attention to detail and follow-through.
  • Proficiency in Microsoft Office Suite and cloud-based business applications.
