PRIMARY PURPOSE OF JOB:

Food Bank’s Coordinator, Philanthropy provides primary administrative support to the Vice President, Philanthropy and to the broader fundraising team as needed. The position will support all efforts to build and maintain customized relationships with Food Bank’s most valued donors to sustain and increase their philanthropic investment.
The position will be hybrid with in-person requirements on site at the Community Kitchen in Harlem and/or our warehouse in the Bronx as needed. Some evening and weekend work is required for special events and donor site visits.

DUTIES AND RESPONSIBILITIES:

Under the supervision of the Vice President, Philanthropy, the Coordinator, Philanthropy will:

  • Provide all primary administrative support for the Vice President, Philanthropy, as they build and sustain relationships with high-capacity prospects, donors and board of directors
  • Support the Vice President, and Philanthropy team leadership in creating and executing donor-facing work, providing reminders, materials, and draft communications, as well as assisting with briefings, prospect research, appointment scheduling, and call reports
  • Provide general administrative support to the larger team, such as taking and sharing team meeting notes, coordinating internal and external meetings, creating and managing small direct mail initiatives, and supporting cultivation and stewardship outreach to donors
  • Help manage and track workflow within the team by creating an archive of conversations, notes, and decisions and regularly revisiting these documents to help ensure timely outcomes
  • Manage and coordinate all administrative aspects and activities of our team events, our Women’s Council, Junior Board meetings and other fundraising activities.
  • Create detailed workflow/events planning documents for all team initiatives
  • Represent Food Bank and its programs accurately when speaking with donors, volunteers, and colleagues as needed at team events, volunteer opportunities, and organization-wide events
  • Contribute to organizational and departmental culture by working with integrity, maintaining a solutions-oriented approach, and adjusting workflow to best serve Food Bank’s mission
  • Help secure, maintain and enter information in Raiser’s Edge NXT, including using InstantCheckmate, iWave and other web-based research platforms to retrieve additional information and update moves management steps
  • Conduct initial research and prepare briefings for principal and major gift level prospects that will allow for enhanced strategy and donor experiences
  • Monitor and respond to donor inquiries from the Five Boroughs Society email inbox
  • Additional responsibilities as needed to support departmental and organizational goals
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Bachelor’s degree or relevant work experience
  • Commitment to the mission and values of Food Bank For New York City
  • Minimum of one (1) year of administrative experience in fast-paced environment
  • Professional experience in non-profit development preferred  
  • Strong written and verbal communication skills
  • Excellent customer service skills
  • Comfortable with in-person engagement and relationship building with donors, volunteers and colleagues at all levels
  • Strong detail-oriented and experience in creating workflows
  • Exercise sound judgment and foresight to anticipate needs, resolve issues, and ensure seamless execution of responsibilities
  • Ability to set priorities, multi-task, meet deadlines and work as part of a team
  • Solid Microsoft Office Suite skills, especially Word, Excel (ability to conduct email and mail/letter merges as well as graphs and charts), and Outlook
  • Experience with Raiser’s Edge NXT a plus

The pay range for this role is between $33.00 - $35.71 hourly ($60k - $65k annually).
