Events Coordinator

Position Type: Full-Time

Location: Brickell, Miami


Job Summary:

The Event Coordinator reports to the Events Manager and is responsible for planning, coordinating, and executing a variety of events, including property launches, broker gatherings, and community activations. This role manages all event logistics, collaborates with marketing and design teams, and ensures smooth execution from start to finish. The ideal candidate is highly organized, detail-oriented, bilingual in English and Spanish, and comfortable with moderate to heavy travel (up to 40%).


Responsibilities:

  • Work with the Events Manager to plan and execute property launch parties, broker events, groundbreakings, expositions, and community activations
  • Coordinate logistics: venue selection, catering, AV setup, signage, permits, dรฉcor, staffing
  • Develop and manage event timelines, checklists, and run-of-show schedules
  • Plan coordinate, and host virtual events and webinars, including meeting setup, registration, management, breakout rooms, polls, screen sharing, recordings, and attendee support.
  • Maintain and update physical and digital event calendars with new events and status changes
  • Collaborate with marketing/design teams to brief event details into Monday.com and request invitations and graphic assets
  • Research and secure venues, review F&B and AV needs, manage room holds, track RSVPs, and coordinate speakers, guests, and VIP requirements
  • Produce and compile event materials: brochures, presentations, signage, collateral, and last-minute requests
  • Track and manage event budgets; upload receipts via Divvy
  • Prepare event recaps, photo documentation, and performance metrics (attendance, engagement, ROI)
  • Assist with barista duties when required
  • Perform additional projects and responsibilities as assigned, including travel to set up and assist with all off-site events and tradeshows.


Qualifications:

  • Fluent in English and Spanish (required); Portuguese is a plus
  • Bachelors in Marketing, Hospitality, Event Management, or related field
  • 3+ years of event planning experience, preferably in real estate, hospitality, or luxury lifestyle
  • Strong organizational, multitasking, and problem-solving abilities, Strong sense of accountability and ownership
  • Tech-savy with strong proficiency in Zoom Meetings and Webinars, live presentations and technical troubleshooting.
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office, CRM/event platforms (Eventbrite, Cvent), and social media tools
  • Flexible schedule: early mornings, evenings, and weekends as needed
  • Valid driverโ€™s license and reliable transportation
