Job description

Overview

We are seeking a highly organized and adaptable Operations Coordinator to support multiple areas of our growing company. This position will assist with administrative tasks, accounts payable support, project coordination, and general office operations across several departments, including property management and construction operations.

The ideal candidate is detail-oriented, proactive, professional, and comfortable wearing multiple hats in a fast-paced environment.

Responsibilities:

  • Provide administrative support to management and various departments
  • Assist with accounts payable functions, including invoice entry, vendor communication, coding, and payment tracking
  • Support accounting and controller functions, including data entry, reconciliations, document management, and financial record keeping
  • Assist with construction and project coordination tasks
  • Answer phones, respond to emails, and communicate with clients, vendors, and homeowners professionally
  • Coordinate schedules, appointments, and internal workflows
  • Prepare reports, spreadsheets, and correspondence as needed
  • Help maintain organization and efficiency within day-to-day office operations
  • Perform other administrative and operational duties as assigned

Qualifications:

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office and/or Google Workspace
  • Ability to work independently and collaboratively
  • Professional demeanor and problem-solving mindset
  • Previous administrative, accounting, accounts payable, office, or operations experience preferred

Preferred Experience:

  • Experience in property management, construction, accounting, or office administration is a plus
  • Familiarity with Buildium, QuickBooks, or similar software is beneficial
