Location: Raleigh, NC Employment Type: Full-Time M-F 7:30-16:30 Status: Actively Hiring Security Clearance: Public Trust or Active Secret Clearance Position Summary We are seeking a detail-oriented DoD medical program professional to manage a multi-function role encompassing HIV case administration, GENESIS records coordination, medical waiver processing, and provider credentialing for a military medical branch. This position is ideal for a candidate who brings sensitivity, precision, and the ability to manage diverse confidential work streams without allowing anything to fall through the cracks. Key Responsibilities * Create HIV case notification packets in the applicable disease detection system within 2 business days of a new case; maintain regular contact with HIV-positive service members to ensure timely documentation submission * Request and track annual medical evaluation documentation from service members; follow up on missed deadlines within 2 business days and escalate non-compliance to the unit command * Conduct annual HIV case audits in compliance with applicable Army regulations; maintain a real-time case status tracker distributed to senior medical leadership monthly; produce annual audit summary reports within 5 business days of completion * Manage MHS GENESIS access and training requests for medical staff and assigned personnel; retrieve and distribute medical records to providers and case managers for service members treated at active-duty Medical Treatment Facilities or VA hospitals * Submit medical and behavioral health waivers for service members using MATS; create OCS and Warrant Officer Candidate waiver packets; upload documentation and process appeals under government direction; forward predetermined approved waiver packets to higher headquarters for final approval * Ensure all assigned military medical providers remain credentialed and privileged for the applicable state without lapse; upload credentialing documents to the DoD centralized credentialing system and notify the vendor within 14 calendar days of each update * Request Inter-Facility Credentials Transfer Briefs no later than 60 days prior to a provider's deployment; onboard new providers after verifying military affiliation and orders * Support Board Certification Pay and Incentive Pay documentation requests; submit privileging verification memos for retention incentive processing; maintain and distribute a current Provider Management Tracker to senior medical leadership monthly * Ensure 100% HIPAA and Privacy Act compliance across all case files, records, waivers, and credentialing documents at all times Required Qualifications * Must be a United States citizen * Current AFTIS Center for Disease Detection Training in accordance with applicable Army regulations - must be held and current upon assignment * Minimum two (2) years of functional experience in JCCQAS * Ability to obtain and maintain a NACI / Public Trust Security Clearance and DoD Common Access Card (CAC) * Demonstrated ability to handle highly sensitive protected health information with absolute discretion and full HIPAA and Privacy Act compliance * Strong attention to detail with the ability to manage multiple concurrent confidential workstreams * Experience with DoD medical and/or behavioral health waiver processes * Strong proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, Teams, SharePoint * Demonstrated ability to plan and organize work, consistently meet deadlines, and control sensitive and confidential information Preferred Qualifications * Prior military service or direct administrative experience with Army National Guard or Army Reserve medical programs * Prior experience with the AFTIS system and Army HIV program audit compliance * Hands-on MHS GENESIS experience including DoD/VA inter-facility records processes * Prior direct experience using MATS for waiver submissions * Experience with CCQAS and coordination with DoD credentialing vendors * Familiarity with Inter-Facility Credentials Transfer Brief processes * Currently active DoD CAC or existing favorable security clearance - Secret or higher fully meets and exceeds the minimum requirement Required Certifications * AFTIS Center for Disease Detection Training / HIV Training
